Essence of Role :
With priorities on recruiting and employee culture, this role will support the Human Resources team and lead the administrative functions to ensure efficiencies, accuracies, compliance, and continuous improvement.
Position Summary :
Reporting to the Sr. Director of Communications / Organizational Development, this role serves as a key generalist – supporting the full employee lifecycle, from recruiting and onboarding top talent, to ensuring compliance and driving retention. The person in this position will also have a critical responsibility of ensuring the accuracy of employee records, streamlining compliance and administrative operations, and contributing to a positive and high-performing culture.
Recruitment -
- Assist with recruitment efforts to secure top talent for assigned roles as efficiently and as timely as possible.
- Manage the full-cycle candidate experience—from initial outreach and onboarding through offboarding and exit processes.
- Schedule and arrange interviews, conduct follow-ups, and track progress throughout recruiting cycle.
- Maintain and update the Applicant Tracking System (ATS) to ensure accurate tracking of candidate progress and hiring metrics
- Coordinate interviews, candidate communication, and post-interview follow-ups
- Conduct background checks, issue offer letters and PAFs.
- Utilize various channels, including job boards (Indeed), professional networks (LinkedIn), industry sites, and employee referral program to find qualified candidates. This includes evaluating and attending career fairs as needed.
Onboarding & Offboarding –
Help manage new hire onboarding by backing up team members by presenting benefits and policy overviews when needed and making sure other necessary information is shared effectively; includes tours and check-ins as needed.Assist with new hire set up in ADP and terminations out of ADP as neededFollow up with new hires throughout first few weeks of employment.Compliance & Audit-Readiness –
Lead and manage initiatives to ensure all internal documentation and personnel files are up-to-date and accurate; this involves working with department team members to ensure accurate and timely execution and being audit-ready.Ensure compliance with employment regulations (FMLA, ADA, EEO, I-9, FLSA, OSHA training records, etc.).Assist in updating employee handbooks, HR policies, and procedures.Help team respond to compliance-related inquiries from employees and managers.Industry Monitoring –
Stay informed about new and / or changing federal, state, and local laws; share news with HR teams, and management as needed.Create or update SOPs and policies.Reporting –
Assist with, and act as backup as needed, for the preparation of HR-related reports such as analytics within the departmentThis includes reporting for compliance audits and participating in customer audits (SQF, Costco, Kraft, Walmart, etc.).Evaluate and recommend cost savings opportunities using analytics to support changesProcess Improvement –
Identify and recommend improvements to HR administrative and compliance-related processes to enhance efficiency and effectiveness. Analyze compliance workflows and recommend automation or technology enhancements to reduce manual effort.Partner with HR to streamline compliance tracking, training delivery, and audit readiness; create dashboards, trackers, and enhanced standard operating procedures (SOPs) to ensure visibility and accountability.Training & Development :
Assist with and facilitate internal training sessions as directed.Work with team members, including Safety (Alchemy), to track and report employee training programs annually.Culture & Engagement –
While all team members in HR are responsible for culture and driving the MZB Way, the person in this role will help with event planning and other programs as needed.Actively contribute to the development of department goals, objectives, and systems.Strategically assist with furthering the company’s mission, vision, and business goals.General –
Support MZB Group travel and events as neededQualifications & Requirements :
Bachelor’s degree preferred, or relevant experience in various human resources functions such as payroll, benefits, staffing, administrative, compliance.SHRM-CP or SHRM-SCP certification desirable.At least five years of HR Generalist experience required.Must be extremely organized and capable of prioritizing multiple high priority projects at a time.Must be willing to roll up sleeves and get involved with various activities.Excellent verbal and written communication skills and comfortable presenting to groups and leading meetings.Excellent interpersonal and technical support skills required.Must have strong analytical and problem-solving skills, as well as detail-orientedFamiliarity with human resource policies and procedures and ability to keep information confidential required.Proficiencies with Microsoft Office Suite, Excel (creating pivot tables), and other software programsEqual Opportunity Employer : disability / veteran.
