POSITION DESCRIPTION :
The Project Manager will lead the planning, coordination, and execution of in-person meetings for NOAA. This role ensures all logistical and onsite needs are met, acting as the primary liaison for venue, travel, technology, and event operations.
RESPONSIBILITIES :
Plan and oversee logistics for two annual in-person meetings, lasting up to four days each.Coordinate with hotels and venues to secure meeting space, negotiate contracts, and manage room blocks.Ensure onsite readiness, including technology setup (A / V, internet, projection, microphones, power access).Supervise room configuration, catering (continental breakfast, beverages), and participant materials.Act as the point of contact for NOAA staff and attendees during meetings.Monitor budgets, invoices, and contract deliverables related to meeting planning and logistics.Support compliance with confidentiality, federal travel guidelines, and Section 508 accessibility standardsREQUIREMENTS :
3+ years of experience in event or conference management, preferably for government or nonprofit organizations.Strong organizational and problem-solving skills, with ability to manage complex logistics.Knowledge of federal travel guidelines and conference planning best practices.Excellent interpersonal and communication skills for vendor and stakeholder coordination.Ability to travel to meeting sites and work onsite for multi-day events.
