Educational and Experience Requirement :
Bachelor’s degree in related field. Four years relevant administrative assistant experience or experience in a related field. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position :
Performs advanced and complex administrative support duties for the Office of Data Analytics and Decision Support (DADS) and for the division of Strategic Enrollment and Innovation (SEI) by providing support to the AVP of DADS (primary supervisor), Executive Director of Operations for SEI, and the Senior Vice President for SEI.
Primary Responsibilities :
Provides full administrative support to the AVP of DADS , which includes : manages calendars, schedules meetings, and handles correspondence. Prepares reports, presentations, and other documents for operational and strategic planning. Tracks and organizes ongoing projects, including deadlines, deliverables, and interdepartmental coordination. Prepares agendas, documents meeting minutes, and ensures follow-up on action items across the DADS department. Organizes events, workshops, and meetings involving department staff. Arranges travel logistics for the AVP and Director of Data Analytics, including registrations, bookings, and reimbursements. Handles personnel-related actions, including Electronic Personnel Action Forms (ePAFs) for the department. Assists with administrative aspects of budget management, including expense reports, procurement, and financial tracking.
This position also provides administrative support to the Executive Director of Operations for SEI, which includes : manages calendars, schedules meetings, and handles correspondence as requested. Prepares reports, presentations, and other documents for operational and strategic planning. Tracks and organizes ongoing projects, including deadlines, deliverables, and interdepartmental coordination. Prepares agendas, documents meeting minutes, and ensures follow-up on action items across SEI departments. Organizes events, workshops, and meetings involving SEI leadership. Assists with administrative aspects of budget management, including expense reports, procurement, and financial tracking.
Additionally this position will provide administrative support to the Senior Vice President (SVP) for SEI , which includes : manages a complex calendar, coordinates meetings with high-level internal and external stakeholders. Handles confidential correspondence, drafts memos, and communicates key information on behalf of the SVP. Organizes and prepares materials for meetings, including board meetings, executive leadership sessions, and strategy discussions. Arranges travel logistics for the SVP, including registrations, bookings, and reimbursements. Tracks strategic initiatives, ensures follow-up on priorities, and prepares reports and presentations for the University President or Board of Regents. Maintains sensitive files and documents related to strategic projects, personnel, and university priorities. Provides hospitality support for the Senior Vice President’s office, including greeting and assisting visitors, offering refreshments, and ensuring a welcoming office environment.
Performs other related duties as assigned.
Other Specifications :
Communicates effectively with other University departments, students, local vendors, and external agencies. Reviews internal procedures and recommends changes to improve efficiency. Acts as a liaison between administrators and staff in matters involving policy decisions. Prepares and maintains records and reports to support departmental activities and decision-making.
