We are seeking a detail-oriented and highly organized Service Billing Administrator to join our
growing mechanical contracting team. This role is responsible for overseeing the accuracy,
timeliness, and consistency of all service-related billing activities. The Service Billing
Administrator will collaborate closely with project managers, service coordinators, and
accounting staff to ensure streamlined billing operations that support company growth and
client satisfaction.
Key Responsibilities
- Prepare, process, and issue invoices for service work orders, maintenance agreements, and
time & material projects in a timely manner.
Verify billing accuracy by reconciling labor hours, materials, subcontractor invoices, andcontract terms.
Partner with Service and Project Managers to resolve discrepancies or billing questionsquickly.
Maintain and update customer accounts, ensuring billing information is current and accurate.Generate billing reports and assist with month-end closing processes.Monitor outstanding receivables, assist with collections support, and escalate issues asneeded.
Ensure compliance with internal controls, company policies, and contractual obligations.Provide exceptional customer service to internal and external stakeholders regarding billinginquiries.
Qualifications
Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field(preferred, not required).
4+ years of billing, service administration, or accounting experience—preferably inmechanical contracting, commercial construction, or service-based industries.
Experience with BuildOps or similar service / project management platforms strongly preferred.Proficiency with Microsoft Office Suite (Excel, Outlook, Word); experience with ERP orconstruction accounting software a plus.
Strong attention to detail, problem-solving skills, and ability to work independently in a fast-paced environment.
Excellent communication and interpersonal skills; able to collaborate effectively with fieldteams, management, and clients.
