Program Coordinator
Coordinate the education programs and training initiatives under the direction of the Program Administrator. Initiatives include the grant-funded Integrated Behavioral Health (IBH) Scholars program and the psychology training program, including the practicum, internship and fellowship programs, in the Department of Psychiatry & Behavioral Sciences.
Support the Program Administrator and leadership team in day-to-day coordination and communication for IBH Scholars, psychology trainees, faculty, and supervisors regarding program activities.
Manage the calendars for programs - including scheduling and communicating with speakers, coordinating student, faculty, and supervisor participation in educational and clinical activities, and scheduling and staffing events.
Manage financial requests, including student and faculty stipends and training expenses pertaining to the programs.
Attend grant-related conference calls and trainings.
Schedule and staff program leadership meetings and advisory council meetings; provide updates on program objectives.
Maintain and organize documentation systems (onboarding, time off requests, recruitment applications, Canvas LMS, and other training program records).
Manage a shared database of program and trainee data, ensuring accessibility for clinical program leads.
Collect, maintain, and compile program records (surveys, attendance, evaluations, recruitment / application reviews) using REDCap and other systems.
Support grant and other program reporting with accurate data collection, documentation, and tracking of deadlines.
Coordinate recruitment and onboarding for IBH Scholars and Psychology programs.
Other duties as assigned.
Bachelor's degree and three years of experience coordinating or administering a program or Master's degree and 1 year of experience coordinating or administering a program. Excellent written and verbal communication skills. Demonstrated organizational and time management skills with attention to detail. Ability to manage multiple tasks and deadlines in a fast-paced environment. Demonstrated ability to work independently and collaboratively. Relevant education and experience may be substituted as appropriate.
Experience coordinating academic or clinical training programs in a healthcare or university setting. Experience with REDCap and Qualtrics. Strong organizational and project management skills. Creativity in identifying ways to increase efficiency.
$50,717 + depending on qualifications.
Repetitive use of a keyboard at a workstation. Lifting and moving. Occasional weekend, overtime, and evening work to meet deadlines. This position will be mostly remote, but applicants must be able to travel to campus as needed for meetings and events.
