Benefits Specialist
JOB SUMMARY
The Benefits Specialist is responsible for the day-to-day administration and compliance of employee benefits across a multi-state healthcare organization. This role ensures the accurate and efficient management of health & welfare plans, retirement programs, leave of absence administration, workers’ compensation claims, and annual benefits events such as open enrollment. The Specialist will collaborate with internal HR, payroll, and finance teams, as well as external vendors and brokers, to deliver excellent employee experience while maintaining regulatory compliance in all states of operation.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
Benefits Administration
Administer all health, dental, vision, life, disability, and retirement plans across multiple states.Facilitate benefits enrollment and administrative processes, including preparation and processing of claims, changes, enrollments, and other filings to support new claims to support new hire, annual enrollment and qualifying events.Coordinate informational sessions and open enrollment meetings with employees and managers.Serve as the primary point of contact for employee benefit inquiries, resolving issues with carriers and third-party administrators.Provide forms, instructions, and educational materials to employees; respond promptly to inquiries.Manage benefit eligibility, enrollment, changes, and terminations through HRIS / benefits platforms.Monitor and audit electronic enrollment file transmissions, facilitate corrections to file data and configuration where needed.Assist with ACA compliance, required notices, and government reporting.Perform additional duties as assigned.Financial & Vendor Management
Reconcile monthly benefit invoices and employee benefit account funding; identify discrepancies, research, and ensure timely resolution and payment.Partner with Finance to ensure accurate payroll benefit deductions.Collaborate with brokers, carriers, and vendors to optimize benefit offerings and service delivery.Leaves of Absence & Workers’ Compensation
Administer FMLA, state leave programs, and company-specific leave policies.Track, document, and communicate employee leave status and return-to-work accommodations.Manage workers’ compensation claims, ensuring proper documentation, timely reporting, and follow-up with carriers and managers.Compliance & Recordkeeping
Ensure compliance with ERISA, HIPAA, COBRA, ACA, and state-specific benefits regulations.Maintain accurate benefit records and documentation for audits.Monitor federal and state legislation affecting benefits programs.EXPERIENCE AND EDUCATION :
High school diploma or equivalent requiredBachelor’s degree in Human Resources, Business Administration, or related field preferred.2 years of progressive HR / Benefits experience, preferably in a multi-state healthcare or highly regulated environment.PRE-EMPLOYMENT REQUIREMENTS :
