A fast-growing financial software company is seeking a polished and proactive Office Coordinator to serve as the first point of contact for employees, guests, and candidates. This role is central to creating a welcoming, organized, and high-functioning workplace experience. You’ll manage front desk operations, support office logistics, and help maintain a smooth day-to-day environment across teams.

This company supports private companies throughout their lifecycle—from formation to fundraising, equity management, and liquidity events.

Key Responsibilities :

  • Greet and assist all visitors, candidates, and employees with professionalism and warmth
  • Manage front desk operations and coordinate with vendors and building management
  • Own and update the guest management system (Envoy) to streamline visitor and candidate workflows
  • Support employee onboarding by preparing desks and coordinating access credentials
  • Handle employee requests, questions, and complaints with accuracy and discretion
  • Order snacks, beverages, and special treats for company events and weekly lunches
  • Submit service and maintenance requests and communicate building updates to staff
  • Distribute mail and packages, restock supplies, and maintain common areas
  • Assist with branded merchandise distribution and other office-related tasks
  • Complete daily opening and closing routines to ensure a clean and functional workspace

Qualifications :

  • 2+ years of experience in office coordination, administration, or similar roles
  • Exceptional written, verbal, and interpersonal communication skills
  • Highly organized, detail-oriented, and able to manage multiple priorities
  • Proactive, adaptable, and comfortable working independently
  • Strong project management and problem-solving abilities
  • Basic IT knowledge is a plus
  • Able to collaborate effectively across diverse team
  • This is a contract-to-hire opportunity requiring on-site work in Seattle, Washington. Candidates are expected to reside in the Seattle area currently.
