Reporting directly to the Director of Hospitality and Contract within the Hospitality department, the Project Support Specialist II is responsible for collaborating with clients, purchasing, design, and logistics teams to manage hospitality lighting contracts from order placement through final delivery. Duties include managing project timelines, coordinating custom order specifications, supporting fulfillment execution, and ensuring a high level of client satisfaction through proactive communication and follow-through.
Responsibilities :
- Facilitate order management and fulfillment for assigned hospitality accounts and projects
- Troubleshoot issues related to order specifications, delays, or production changes
- Monitor open orders and ensure all items have a clear fulfillment plan and delivery timeline
- Manage communication of project status updates to clients (daily, weekly, or as needed)
- Analyze order details to confirm accuracy of specifications and contract compliance
- Review and prepare supporting documentation such as spec sheets, finish approvals, and invoices
- Coordinate with freight forwarders and internal stakeholders for shipping logistics
- Works effectively with others in a team environment to accomplish organizational goals and to identify and resolve problems

- Must demonstrate commitment, dependability, punctuality, and adherence to agreed-upon schedule while being present in the workplace to effectively collaborate and communicate amongst co-workers and teams
Qualifications :
Bachelor's degree in Business Administration, Supply Chain Management, Hospitality Management, or Interior Design preferred2 to 4 years' previous experience in client service, project coordination, or order managementStrong aptitude for and proficiency navigating ERP systems (SAP required), Excel, and OutlookExperience in interior design, custom home building products, luxury home furnishings and / or lighting industry strongly preferredExceptional organizational and time management skills, with high attention to detailAbility to prioritize multiple tasks and navigate changing priorities with professionalismMust demonstrate maturity in judgement, dependability, and schedule adherenceAbility to deliver results both independently and in collaboration with cross-functional teamsDemonstrate exceptional communication across all channels including email, phone, and meetingsAvailable to work a flexible schedule, including weekends, early mornings, or evenings as neededAn equivalent combination of education and experience will be considered for this roleWe Provide :
