Alumni Engagement Associate
The Alumni Engagement Associate reports to the Director, Alumni Engagement and serves a key function in connecting Chicago Booth's renowned alumni network and is important in cultivating and maintaining the relationship between Chicago Booth and its global alumni community. As the operational lead of the Alumni Engagement team, this position is the primary point of contact for alumni and is key in ensuring their seamless connection with the school. The Associate's work is vital to the Office of Advancement's efforts to build a strong and engaged alumni pipeline, directly supporting the school's mission and strategic goals.
Responsibilities include :
- Working with all members of the Alumni Engagement team and serving as the central information hub for the team.
- Managing and executing backend event and program administrative tasks including reviews of event information submissions, builds registrations in Cvent and the Hivebrite alumni engagement platform, makes webpage updates, drafts and creates communications, manages lists, participates in day of event preparation including the collection, organization, and replenishment of materials and promotional items, and tracks post-event data.
- Creating email campaigns across various platforms, targeting broad alumni audiences, key volunteers, and specific groups for event and initiative awareness.
- Supporting discovery initiatives and providing insights to frontline relationship managers, communications, and events colleagues. Measures, tracks, and reports participation and success of discovery initiatives.
- Pulling reports from the alumni database and Hivebrite and assists in data collection, including creation of briefings and talking points.
- Serving as point person to the accounting department for event contract processing and payment, team supply and resource ordering, and assistance with occasional reimbursements.
- Participating in team working groups and team-wide initiatives, and supports special projects as applicable.
- Maintaining Alumni Engagement team meetings, select calendaring, and notetaking.
- Managing the alumni email inbox ensuring quick replies and action, as well as quality and clear communications to senders and internal colleagues.
- Acting as a contact and liaison for alumni within a specific region and coordinate regional activities with other areas of development and assures that no conflict occurs.
- Maintaining metrics of success and making sure those are present in departmental strategic plans, goals setting, and the annual budget.
- Performs other related work as needed.
Minimum qualifications include a college or university degree in a related field and knowledge and skills developed through less than 2 years of work experience in a related job discipline. Preferred qualifications include a bachelor's degree, one year of work experience in nonprofit management, advancement, donor relations, stewardship, alumni relations, or similar work, and demonstrated fluency with MS Office (Word, Excel, PowerPoint, and Outlook). Previous experience with fundraising database or CRM database is also preferred.
This position is currently expected to work a minimum three days per week in the office and execute, staff, and attend events outside of regular business hours on evenings and weekends.
