We are looking to grow our team!
Position Summary :
We are seeking a highly organized, proactive, and professional Executive Administrative Assistant to support our executive team across our hospitality portfolio, which includes hotels and Starbucks locations. This role requires a high level of discretion, initiative, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be comfortable traveling to various sites, coordinating complex schedules, and representing the executive team in communications and logistics.
Key Responsibilities :
- Manage and maintain executive calendars, including scheduling meetings, site visits, and travel arrangements
- Prepare reports, presentations, and documents for internal and external use
- Draft and distribute communications on behalf of the executive team
- Order and manage office and operational supplies for multiple locations
- Track and reconcile expense reports, invoices, and budget-related documentation
- Maintain organized filing systems for contracts, vendor agreements, and operational documents
- Accompany executives on site visits to hotels and Starbucks locations as needed
- Support project tracking and status reporting across departments
- Prepare agendas, take meeting minutes, and follow up on action items
- Coordinate internal and external meetings, including logistics, catering, and technology setup
- Communicate with vendors and strategic business partners in a professional manner
- Ensure communications and materials reflect the brand ethos of the hospitality entity and company
- Support internal culture initiatives, recognition programs, or guest experience enhancements

Qualifications :
Proven experience as an executive assistant or in a similar administrative roleExcellent organizational and time management skillsStrong written and verbal communication abilitiesProficiency in Microsoft Office Suite and calendar management toolsAbility to travel locally as needed (valid driver’s license required)Hospitality industry experience is a plusBenefits include :
