We are seeking an organized, detail-oriented, and proactive individual to join our team as a Bookkeeper / Secretary / Office Manager to support our growing operations.
Job Summary :
The Bookkeeper / Secretary / Office Manager will play a critical role in ensuring the smooth operation of our office and financial processes. This position combines bookkeeping, administrative, and office management responsibilities to support our team and maintain efficient operations. The ideal candidate will have strong organizational skills, a keen eye for detail, and the ability to work independently.
Key Responsibilities :
Bookkeeping :
- Manage accounts payable and receivable, including invoicing, payment processing, and vendor communications.
- Maintain accurate financial records using QuickBooks.
- Reconcile bank statements, credit card accounts, and other financial accounts monthly.
- Prepare financial reports, budgets, and payroll in compliance with union regulations and company policies.
- Assist with audits and coordinate with external accountants for tax preparation and compliance.
- Track job costing and project expenses to ensure accurate financial reporting.
Secretary :
Provide administrative support to management, including scheduling meetings, managing calendars, and handling correspondence.Answer and direct phone calls, emails, and other inquiries in a professional and timely manner.Draft, edit, and distribute internal and external communications, including letters, memos, and contracts.Maintain organized filing systems (both digital and physical) for contracts, permits, and other critical documents.Coordinate meetings, and company events as needed.Office Management :
Oversee daily office operations, ensuring a clean, organized, and efficient workplace.Manage office supplies, equipment, and inventory, placing orders as needed.Supervise administrative staff or coordinate with other departments to ensure seamless operations.Implement and maintain office policies.Assist with onboarding new employees, including preparing paperwork and coordinating union-related documentation.Qualifications :
High school diploma or equivalent; associate or bachelor’s degree in accounting, business administration, or related field preferred but experience will be evaluated.Minimum of 3-5 years of experience in bookkeeping, administrative support, & office management, preferably in a construction and or unionized environment.Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and other office management software.Strong understanding of basic accounting principles and financial reporting.Excellent organizational, multitasking, and time-management skills.Exceptional communication skills, both written and verbal, with a professional demeanor.Familiarity with union regulations, payroll processes, and construction industry practices is a plus.Ability to handle sensitive and confidential information with discretion.Detail-oriented with a proactive approach to problem-solving.Preferred Skills :
Knowledge of union contracts, benefits administration, or prevailing wage requirements.Ability to adapt to changing priorities and work under tight deadlines.How to Apply :
