POSITION OVERVIEW :

Reporting to the Senior Manager of Site-Based Programs, the WIE Program Specialist will provide support to BBBSLA's Women in Entertainment (WIE) Mentorship Program and related entertainment industry focused programs. The Specialist will maintain a caseload of site-based youth mentoring matches. The Specialist will (1) assist in the successful onboarding of student and volunteer participants in the program; (2) hold individual monthly support calls with students, volunteers and parents / guardians; (3) coordinate and organize transportation for students for their in-person match sessions; (4) attend WIE events and activities; and (5) support scholarship coordination and distribution to WIE alumnae.

This is a part-time, hybrid work position with a mix of virtual and in-office work. The position also requires travel for special events and face-to-face meetings with staff, volunteers, mentees, and corporate partners.

ABOUT THE WIE MENTORSHIP PROGRAM

In 2009, The Hollywood Reporter and Big Brothers Big Sisters of Greater Los Angeles joined forces to create a unique mentorship program for high school junior girls throughout Los Angeles County. Each year, the WIE Mentorship Program connects 18-20 female students from under-resourced communities with female entertainment executives through an annual mentorship and college & career readiness program. The goals of the program are to provide high quality mentorship opportunities for young female students during a critical phase in their young adulthood; promote the development of skills such as public speaking, confidence, and leadership; introduce students to the entertainment industry as a potential career path; promote diversity, equity and inclusion in the entertainment industry; and prepare students for college matriculation and success.

ESSENTIAL JOB ACTIVITIES AND RESPONSIBILITIES

The activities and responsibilities outlined below represent the core functions required for successful performance in this role. Reasonable accommodation may be provided to enable qualified individuals with disabilities to perform these essential functions.

Program Delivery :

  • Ensure the successful onboarding of student participants, including but not limited to school presentations, interviews and selection meetings,
  • Support the Senior Program Manager and The Hollywood Reporter liaison in the onboarding of volunteer participants, including but not limited to interviews and live scan background checks
  • Create Mentor-Mentee matches. Tasks include writing match assessments, entering / updating data in Matchforce system. and providing perspective on potential strong matches
  • Facilitate mentoring match Introductions.
  • Manage DMV and county level background check process for all potential volunteers.
  • Provide individualized professional support through scheduled in-person and telephone contact to each student, volunteer and family throughout the length of the match.
  • Maintain a caseload of site-based matches with on-time match support goal of 90% and on-time survey completion. This may include programs outside of the WIE Program.
  • Develop strategic interventions to identify and strengthen match relationships that require extra support to continue to grow.
  • Ensure high-level proficiency and good judgment in applying child safety and risk management knowledge, policies and procedures throughout all aspects of job function.
  • Document and monitor all elements of match support, and promptly notify supervisor regarding concerns that may negatively influence the match..
  • Confirm bi-weekly site visits with mentors' assistants; book all rides with certified transportation service company; carefully track reschedules; and closely monitor rides in live time to ensure youth safety.
  • Collaborate with program partners to disseminate information about scholarship opportunities, by hosting info sessions. Gather required documents and liaise with partners on scholarship timelines and decisions.
  • Provide support for all WIE events and activities – including sessions on Saturday mornings in collaboration with our college counseling partner company, virtual and in person college days, entertainment industry workshops, The Hollywood Reporter events, and additional enrichment and social activities.
  • Liaise with the Hollywood Reporter on annual video production including communication with mentors and mentees, scheduling site visits and collaborating on content.
  • Create and maintain a library of support services in areas of career exploration, academic support, personal guidance, life skills and professional development.
  • Participate in all Agency staff and team meetings.
  • Perform other duties as assigned by agency leaders.

QUALIFICATIONS & EXPERIENCE :

  • Bachelor's Degree required.
  • Minimum of 2-3 years work and / or internship experience in an office setting with customer service responsibilities. Working with youth and families, at a non-profit organization and / or within the entertainment industry experience is a plus.
  • Excellent organizational and administrative skills
  • Must enjoy working with children and families with a professional, warm and welcoming demeanor
  • Full competency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Database Management. Computer literacy to include excel database and report writing.
  • Must have excellent writing skills
  • Preferably speaks both English and Spanish fluently
  • Must be willing to work flexible hours including weekends and early evenings
  • Excellent interpersonal, verbal, and written communication skills, with strong attention to detail.
  • Must have transportation, valid CA driver's license, and evidence of automobile insurance.

  • WORK ENVIRONMENT :

    The conditions outlined below are representative of those encountered while performing the essential functions of this role.

  • Work setting : Hybrid office environment with flexibility in scheduling. Some evening and weekend work may be required to support organizational needs. Indoors (75%) and local travel (25%).
  • Travel : Occasional independent travel to partner sites, events, and meetings.
  • Physical demands : While performing the duties of this job, the employee will regularly be required to sit, stand, walk, reach with hands and arms, and communicate verbally. The role requires frequent use of a computer, telephone, and other standard office equipment. The employee must occasionally lift and / or move up to 25 lbs.

    Compensation, Hours and Benefits

    Non-exempt, part-time position (up to 30 hours / week) with a starting hourly pay range of $20-$23 depending on experience. Typical work schedule : Mon-Fri, 10am – 6pm, but occasional evening and weekend work required. BBBSLA operates on a hybrid remote-office setting, with employees working a minimum of two days per week in the office.
