Overview
A Leading Billion-Dollar Growth / Private Equity Investment Firm located in Midtown Manhattan is seeking a new Full-Time / Permanent Executive Assistant / Project Coordinator to support 3-5 top-level executives, including C-level. This role requires proactive organization and execution of tasks and projects with little supervision (after training) through exceptional, detail-oriented project management skills.
Responsibilities
- Provide high-level executive administrative support to 3-5 top-level executives.
- Schedule and organize extensive internal and external meetings, conference / video calls, and appointments across various time zones; create agendas, coordinate meeting invites / details according to standard company preferences, and prepare and distribute meeting materials; manage busy and changing calendars.
- Liaise with high-level executives and / or their support from external companies (primarily technology and financial services) to manage small and large meetings, board scheduling, and additional executive support (board materials, committees, documentation requiring review / execution, etc.).
- Communicate professionally with Limited Partners (LPs), Portfolio Companies (PCs), prospective company management, industry peers, internal colleagues, and other senior leaders, exercising discretion at all times.
- Manage all aspects of quarterly Zoom roundtables with company PCs (20-30 participants), in addition to various projects to assist each executive within their function.
- Coordinate complex domestic and international travel arrangements and detailed itineraries, including flights, hotel accommodations, car services / ground transportation, events, and dining reservations.
- Oversee phone management and screening on behalf of executives.
- Prepare, process, and submit expense reports timely, reconciling with monthly credit card statements and liaising with the finance department.
- Manage and enter executives' activity and client data / updates into internal CRM (DealCloud) and generate monthly and quarterly reports for presentations and internal tracking.
- Monitor time allocation, candidate interactions, and data entry of executives' project and value additions.
- Maintain executives' contacts and provide back-up support to other executive support colleagues.
- Assist with ad hoc projects and participate in firmwide requests.
Required Qualifications
Minimum 3-5+ years of relevant corporate administrative work experience, preferably supporting multiple senior-level professionals in private / growth equity or financial services with busy schedules.Bachelor's degree strongly preferred / required.Professional demeanor and ability to interact with individuals at all levels.Detail- and team-oriented, organized, proactive, with excellent follow-up skills.Strong organizational and project management skills with the ability to multi-task and take ownership of the EA role.Excellent verbal and written communication skills; active listener.Ability to prioritize and work independently, with comfort asking questions when in doubt; quick thinker and discreet with sensitive information.Self-starter who remains calm under pressure.Proficiency in Adobe and Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); experience with data entry, time tracking is a plus.Compensation and Benefits
