The Accounting Administrator of Watco Logistics Colossal is responsible for ensuring accuracy and compliance in all financial processes, with a focus on payables, receivables, vendor management, and adherence to GAAP standards. This role ensures financial accuracy, maintains organized records, and provides administrative support to the accounting department. The ideal candidate will be proactive, dependable, and skilled in both technical accounting and effective communication.
Essential Duties and Responsibilities
Confirm financial status by monitoring revenue and expensesProcess purchase orders and review project budget before assigningManage accounts payable and accounts receivable functions accurately and efficientlyMaintain compliance with Generally Accepted Accounting Principles (GAAP)Ensure budgets are monitored and maintained; identify variances as neededConduct weekly check runs and manage vendor paymentsHandle invoice disputes, resolve discrepancies, and ensure timely resolutionsAssist with closing activities including reconciliations, journal entries, reportsVet and set up new vendors and customers in accordance with company policiesMaintain and update vendor files and accounting recordsUtilize Excel and other tools for reporting, data analysis, and reconciliationAssist with financial audits and internal reviewsPrepare and distribute routine accounting and financial reports to managementMaintain and follow internal control procedures to safeguard company assetsCoordinate the collection, consolidation, and evaluation of financial dataMaintain financial security by establishing internal controls for confidentialityIdentify and recommend process improvements to increase efficiencyPerform general administrative duties to support the accounting departmentMaintain confidentiality of sensitive financial and vendor / customer informationCollaborate effectively with internal teams and external partners to ensure smooth financial operationsSkills and Abilities
3+ years of experience in accounting or finance administrationStrong understanding of GAAP and financial statement preparationProficiency in Microsoft Excel; experience with accounting software preferredExcellent organizational skills with a strong attention to detail and accuracyStrong communication skills, both written and verbalAbility to manage multiple priorities and meet deadlinesProblem-solving skills for resolving invoice disputes and vendor issuesAbility to work independently, with little supervisionPositive attitude, strong problem-solving abilities, and a focus on customer satisfactionEffective customer service skills and the ability to service both internal and external customersEducation
Associate's or bachelor's degree in Accounting, Finance, or related field preferred.
