The Executive Assistant provides administrative support the Chief Operating Officer (COO) and President / Chief Executive Officer (CEO). This role requires exceptional communication skills, attention to detail, and the ability to manage complex schedules and confidential information. The Executive Assistant will serve as a key liaison between executive leadership and internal / external stakeholders, ensuring seamless coordination and execution of executive-level priorities.

Job Responsibilities

  • Provide high-level administrative support to the COO and President / CEO, including calendar management, travel arrangements, meeting coordination, and expense reporting.
  • Prepare and edit correspondence, presentations, and reports with a high degree of accuracy and professionalism.
  • Coordinate logistics for executive meetings, events, and travel.
  • Serve as a gatekeeper and point of contact.
  • Maintain confidentiality of sensitive information and exercise discretion in all interactions.
  • Assist with special projects and strategic initiatives as directed by executive leadership.
  • Manage priorities and deadlines in a fast-paced, dynamic environment.
  • Build strong relationships across departments to facilitate effective communication and collaboration.
  • Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.
  • Performs other duties as assigned.

Qualifications

  • High school diploma or equivalent.
  • Minimum of 5 years of experience supporting senior executives, preferably in aviation or a corporate environment.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to handle confidential information with integrity and professionalism.
  • Flexible and adaptable to changing priorities and schedules.
  • Ability to speak / read / write in English.
  • If hired, must be able to demonstrate that you are authorized to work in the U.S.

  • Bachelor's degree.
  • Additional Information

    Supervisory Responsibility : This is not a supervisory position.

    Delegation : In absence, responsibilities delegated to President / CEO and COO.

    Authorities : None

    Work Environment : This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines, and filing cabinets. Physical Demands : The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, the employee is frequently required to stand; walk; climb up and down stairs; lift weight up to 25 lbs; use hands to handle or feel; and reach with hands and arms. Security Clearance : All employees are required to pass the fingerprint-based criminal history records check (CHRC) per 49CFR1542.209 as well as a pre-employment drug screen.
