Administrative Assistant

Job Summary

The Administrative Assistant is responsible for handling various office clerical functions as required, and tending to reception needs as / if necessary.

Job Functions

  • Answering phones
  • Retrieving, then processing & distributing mail
  • Assisting with data entry and organization of quotes, service contracts, supplier relations and any other pertinent records related to business operations
  • Assists with the coordination of purchasing functions as needed
  • Project management as needed
  • Assisting with accounting as required, including working within P21
  • Any and all clerical duties

  • Operating standard office equipment including MS Office applications, copy machine, fax machine, and scanner
  • Attention to detail

  • Dealing with frequent interruptions and changing priorities

  • Other Information

    The Administrative Assistant may be located at any branch and reports to the General Manager. Hours are generally 8 AM to 5 PM, with OT as needed. Physical demands are minimal and typically require the following : 90% sitting, 5% walking and 5% standing. Light lifting of supplies and some fine finger dexterity is required.

    None to Minimal travel required.

    Training

    Administrative Assistant training is to be carried out at any branch location necessary. The General Manager is responsible for the Administrative Assistant's training, unless s / he has an Operations Manager in place who's responsibility is staffing and training. When possible the training will be conducted by the incumbent Administrative Assistant. When / if the incumbent is not available or no longer with the company, Administrative Assistant training will be carried out by a designated, experienced staff member TBD by the General Manager or Operations Manager.

    The following tasks shall be initially trained on the Administrative Assistant function :

  • Phones
  • P21 processes as applicable
  • Creating and maintaining files
  • Other office functions as necessary
  • The Administrative Assistant shall be trained on the following software, as needed :

  • Outlook
  • P21
  • Excel
  • Other MS Office Programs as needed
  • The following PPE shall be required by the Administrative Assistant :

  • Closed-toe shoes at branch offices
