Field Marketing Operations Coordinator

The Field Marketing Operations Coordinator is a high-level, tactical role supporting the Field Marketing department in executing lead generation programs across events and retail locations. This position is responsible for operational support, compliance, reporting, administrative coordination, and data management, ensuring the department runs efficiently and effectively. The Coordinator will manage data integrity, track performance metrics, assist in planning and executing field events, maintain marketing materials and documentation, and support employee scheduling and compensation tracking. This role requires a highly organized, proactive, and detail-oriented professional who can work independently and collaboratively in a fast-paced environment.
Key Responsibilities :
- Enter, track, and manage leads in CRM systems.
- Monitor lead generation activities and provide data analysis to support performance.
- Generate, build, maintain, and distribute daily, weekly, and monthly reports (e.g., hours per event / location, lead metrics, marketing spend, ROI analysis).
- Ensure timecard compliance and track absenteeism and tardiness for field marketing personnel.
- Support production and maintenance of data for weekly compensation programs, including bonuses, spiffs, and contests.
- Maintain records to ensure compliance with company policies and audit readiness.
- Track employee availability, work schedules, and shift coverage to ensure operational needs are met.
- Assist with coordination of staffing for events, retail activations, and other field marketing initiatives.
- Assist in the planning, coordination, and execution of field marketing events, bootcamps, and team meetings.
- Draft, edit, and distribute event-related communications to team members.
- Reconcile marketing spend for events and retail activations, updating records and tracking budgets.
- Provide on-site operational support for events as needed, including setup, teardown, and logistics.
- Maintain, organize, and track marketing materials, ensuring inventory levels are adequate and materials are properly stored and distributed.
- Update, organize, and maintain internal documentation, templates, and resources for the field marketing team.
- Assist with onboarding new hires in the Field Marketing department, including system setup, process orientation, and distribution of materials.
- Serve as a liaison between field marketing staff and corporate support functions.
- Support staff with day-to-day operational needs, including troubleshooting issues at events or retail locations.
- Work flexible hours, including nights and weekends, to support field events and retail activations.
- Identify process improvements and support initiatives to streamline operations.
- Maintain confidentiality of sensitive data and adhere to company policies.
- Perform other duties as assigned by the department manager.
Qualifications :
Ability to work a flexible schedule to meet the needs of the business; this includes evenings and weekends.Strong organizational, time management, and multitasking skills.Strong verbal and written communication skills, with the ability to communicate effectively across multiple audiences.Strong PC skills, including Microsoft Office (Word, PowerPoint, Excel, Outlook), Adobe Acrobat, and Internet proficiency.Detail-oriented, with a strong focus on accuracy, compliance, and follow-through.Ability to work independently and collaboratively in a fast-paced environment.Tactical thinking with the ability to problem-solve on-site and in real time.Proactive approach to process improvement and operational efficiency.Ability to manage multiple priorities, deadlines, and projects simultaneously.$30-32 / hourly, based on experience
Monday and 2 other weekdays, 10 : 00am-6 : 00pm, Saturday and Sunday WFH
