Job Summary

As a Levy Complex Events Coordinator, you will be responsible for assisting in the achievement of successful and profitable group events, while working in partnership with our onsite team and clients to deliver "The Levy Difference."

Essential Duties and Responsibilities :

• Provides clerical support through Reserve / Infor, our event booking software
• Ensures that appropriate Group Sales materials are always updated with most current pricing and details including event menus, and signage
• Provides ready assistance to Group Sales management to ensure all catering services exceed guest expectations
• Manages the distribution of BEOs to all parties involved in events
• Manages the distribution of event calendars to our complex team and partners
• Manages the planning and execution of catered events setup
• Assists operations at the complex, as needed
• Facilitate meetings and communication in regards to delivery of event rentals
• Ensures that all post event numbers are collected and entered to Reserve / Infor
• Processes invoices and event payments on a timely basis
• Completes projects in a timely and professional manner
• Fosters strong relationships with Group Sales, Operations and Complex Partners
• Promotes a positive work environment, maximizing productivity and morale throughout the entire Levy and Wrigley Field teams
• Ability to use hands in using office equipment, including the computer system
• Ability to talk and hear to conduct phone correspondence
• Close vision and focus capabilities to view computer screen and company documents
• Possesses extensive computer knowledge of Microsoft Office applications and the ability to learn new programs (Word, Excel and more)
• Must be flexible with schedule, able to attend / execute special events outside of normal work hours, including nights, holidays and weekends / ability and be able to walk long distances
