Description :
As a member of the Finance team, the Grants Billing Specialist is responsible for overseeing the end-to-end billing process for grants and contracts. This role involves meticulous preparation, maintenance, and reporting of grants, with a keen focus on accuracy, compliance, and fostering collaborative relationships with the Development and Finance teams. This position will be hybrid, with at least 3 working days in the office (subject to change depending on organizational needs).
Essential Responsibilities :
Billing Process Oversight :
- Collaborate seamlessly with the Development and Finance teams to oversee and optimize the entire billing process for grants and contracts.
- Establish, enhance, and maintain robust internal controls, ensuring accuracy and timeliness in each phase of the billing cycle. Work closely with the Grants Compliance Manager and other relevant team members to ensure alignment of processes.
Budget Development and Modification :
Provide indispensable support to agency leaders in developing project budgets that meet funder requirements.Proactively engage in the modification of budgets as necessary, demonstrating agility in addressing changing project needs and evolving funder expectations.Funder Communication :
Take the lead in preparing and submitting routine billing documents to funders, employing a proactive and responsive approach to address any inquiries or discrepancies promptly.Perform other duties as assigned to support the overall operations and success of the department, program, and organization.Grants Management System Implementation :
Participate in the successful setup and launch of a Grants Management System, collaborating closely with the IT department.Ensure a seamless integration of the new system into existing processes and workflows, providing training and support as needed.General Ledger Maintenance :
Prepare and submit monthly journals to the Finance team’s accounting system with accuracy.Accurately code invoices and credit card receipts into the accounting system promptly.Successfully track and maintain documentation for matching funds.Financial Information Upload :
Regularly upload current financial information with precision, facilitating the ongoing monitoring of grant and program progress.Collaborate effectively with the Finance team to ensure the availability of accurate and up-to-date financial data for informed decision-making.Compliance Assurance :
Collaborate proactively with the Finance team to ensure strict compliance with financial policies, rules, and regulations related to grants.Conduct regular audits and assessments to ensure adherence to compliance standards, actively participating in continuous improvement initiatives.Budget Analysis and Reporting :
Engage in a detailed analysis of project costs, providing valuable insights for comprehensive budget justifications and revisions for awarded grants.Prepare and present detailed reports on budget performance and financial status, contributing to strategic decision-making.Qualifications :
Essential Requirements
Bachelor’s degree preferred with major coursework in finance, accounting, or a related field.Minimum of 5 years’ professional experience in grant billing, grant administration, or related finance / accounting roles.Proven experience in grant billing, administration, and successful collaboration with finance teams, funders, and other stakeholders.Equivalent combinations of education and experience may be considered.Proficient knowledge with Microsoft Office (Excel, Word, PowerPoint).Valid Texas Driver’s License.Skills & Assets
In-depth knowledge of laws and regulations governing grant billing and contract administration.Proficient in finance principles and practices, research, and budgeting processes.Advanced skills in grant billing preparation, development, and monitoring.Strong report writing skills and proficiency in financial software.Exceptional ability to evaluate fiscal data for reasonableness, necessity, and conformity with grant requirements.Detail-oriented with excellent verbal, written, and interpersonal skills.Proactive team member with a desire to learn and grow.Flexibility and adaptability as the position grows and changes.Ability to work as a team member with a variety of people.A person in this position must be able to sit and stand for prolonged periods; use a computer keyboard and monitor for lengthy periods; and be able to lift and carry 20 lbs.Reasonable Accommodation Notice :
