Overview
We are seeking a highly organized and detail-oriented Training & Administrative Support Specialist to provide comprehensive support for courses, conferences, meetings, and events. This role will work closely with department chairs, course managers, customer liaison officers, faculty, staff, and students to ensure seamless execution of training and mission-related events.
Responsibilities
Training & Event Support
- Coordinate and manage logistics for courses, conferences, meetings, and mission-related events.
- Collect, maintain, and update student records, rosters, reports, and presentation materials.
- Facilitate pre-course communication and manage digital course materials using Microsoft Teams, SharePoint, and DAU systems.
- Prepare learning environments, ensuring all A / V, IT, and supply needs are met.
- Provide on-site technical support and troubleshooting for classroom technology and virtual platforms.
- Collaborate with faculty to ensure timely preparation and distribution of instructional materials.
- Support course close-out activities, including certificate issuance and final roster compilation.
- Organize logistics for guest speakers, visitors, and special events.
- Partner with Regional Education Support Specialists to complete required documentation for training and mission assistance.
- Assist students requiring reasonable accommodation during training sessions.
- Deliver technical and administrative support for virtual events including webinars and TED-style presentations.
Administrative Operations
Respond to phone, email, and in-person inquiries related to DAU activities.Schedule and coordinate meetings, training sessions, and conferences.Maintain calendars, office schedules, and assist with document and information management.Draft and prepare reports, SOPs, correspondence, presentations, and other official documentation.Perform clerical tasks and statistical data entry with accuracy and confidentiality.Maintain proficiency in Microsoft Teams for Education, Zoom, and Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Edge).Operate and navigate DoD / DAU software tools including CSOD, Mission Assistance System (MAS), and DAU Business Systems.Qualifications
US CitizenBachelor's degreeExperience providing administrative and event support in an educational, corporate, or government setting.Strong technical proficiency with Microsoft Teams, SharePoint, Zoom, and Microsoft Office Suite.Ability to set up and troubleshoot A / V and IT systems.Excellent communication and organizational skills.Familiarity with DoD / DAU systems a plus.Ability to manage multiple priorities in a fast-paced environment.Benefits
