Job Summary
Responsible for daily activities in the mailroom. Manage both inbound and outbound mail, with a special focus on handling sensitive documents such as Human Resource checks, tax forms, and business licenses. Responsible for scanning, routing and sending email correspondence supporting BSNA.
Duties and Responsibilities
Inbound Mail Management
- Receive, sort, and distribute incoming mail and packages to designated departments
- Log and track sensitive items, including HR checks, tax documents, and business licenses
- Ensure secure handling and confidentiality of all incoming materials
- Manages filing systems, supply inventory, mailing logs, and database updates, as required
Outbound Mail Processing
Prepare and dispatch outgoing mail and packages, ensuring proper postage and documentationCoordinate with postal and courier services for timely pickup and deliveryMaintain accurate records of all outgoing mail, especially sensitive or time-critical itemsPrepare outgoing mail for high-value and state return checks with required documentation and / or route checks requiring special handling to designated addressesDuties and Responsibilities
Document Preparation & Processing (Human Resource Docs / Business Licenses / Tax Documents)
Organize and compile tax documents for internal processing and external mailingTrack business licenses and ensure they are scanned to the correct internal or external contactsMaintain up-to-date records of license recipients and billing detailsCollaborate with Finance and HR departments to ensure the timely processing of critical documentsSorts, scans, emails, and distributes confidential Human Resources documents to appropriate recipients, ensuring secure and accurate delivery in accordance with privacy and compliance standardsAdministrative Support
Maintain inventory of mailroom supplies and reorder as neededOperate mailroom equipment, including postage meters, scanners, and label printersAssist with special mailing projects and interoffice deliveriesKey Skills and Abilities
Strong attention to detail and organizational skillsProficient in clerical tasks and document handlingEffective verbal and written communication skillsSkilled in Microsoft Outlook, Excel, Word, and related toolsEducation Requirements
High School Diploma or GED

This is an on-site position, target hours are Monday- Friday, 8 : 00 AM- 5 : 00 PM
