Administrative Coordinator 3
The incumbent of this position will provide support to the Veterinary Teaching Hospital's Large Animal Client Services Unit and operations. They will interact daily with clients, referring veterinarians, faculty, House Officers, staff, and students. It is essential that this person has experience with client reception and business management practices. The incumbent will be responsible for attending to the needs of the clients at all stages from scheduling to admission, all the way through to patient discharge.
45% Greet clients upon arrival. Gather and input client and patient demographics into electronic medical record system. Communicating with internal services to inform them when clients have arrived. Verifying client is in good financial standing with the hospital before intake. Communicating with referral hospitals and veterinarians to obtain medical records on mutual patients. Answer incoming client phone calls Identify if client is dealing with an emergency or routine issue. Route call or message appropriately, may be related to prescription refills (in hospital or outside pharmacy), patient status, discharge clarifications. Discuss services offered with clients
35% Prepare daily appointment sheet. Understand appointment schedules of different specialty and primary care services. Assist clients with scheduling appointments, including asking appropriate questions to ensure scheduling with appropriate service
10% Establishing records for new clients and patients. Updating demographics for established clients. Ensuring all documents from referring veterinarians are attached to patient file. Reviewing check in documentation with clients and capture electronic signatures. Prepare donation paperwork according to SOP.
5% In the absence of or to provide back up to HAT : Inputting charges, receiving payments from clients, discussing finance options with clients, assisting with providing estimates for future clients
5% Other duties defined by client service supervisor or hospital administration, including (but not limited to) providing back up to LA Patient Coordinator.
MINIMUM QUALIFICATIONS :
Two years of experience or training in clerical work.
EXPERIENCE SUBSTITUTION : Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.
SPECIAL OR PHYSICAL QUALIFICATIONS :
Per PS-18, Emergency response personnel - These personnel are linked with the hospital during any emergency response event and are expected to report in and perform as outlined in the emergency response plan. Physical Requirements - Required to be cable of lifting up to 50 pounds, standing or walking for prolonged periods, able to reach and / or climb a ladder, bending, squatting, and / or twisting.
Due to the nature of this position and / or position responsibilities, this position is subject to random drug and alcohol testing in accordance with University Policy Statement 67.
