Project Administrator
to join the team in their
Raleigh, North Carolina
office. This full-time role is ideal for someone who is committed to excellence, thrives in a fast-paced environment and enjoys supporting a collaborative team.
About the
As a Project Administrator, you’ll provide vital support throughout the design and construction process—ensuring project documentation is accurate, organized, and delivered on time. In addition to project-related tasks, you’ll also help maintain smooth daily operations at our Raleigh office. This is a highly collaborative role, ideal for someone who thrives on organization, communication, and team support in a dynamic, people-first environment.
Key
Design and Construction Support (Approx 80% of your day)
Coordinate and assemble project specifications into complete, formatted spec books
Track project deadlines and proactively support project managers and technical staff
Prepare and manage AIA contracts and related documentation
Process
submittals
: download, log, assign reviewers, and return to contractor
Process
RFIs
: log, distribute for review, return responses, and maintain records
Ensure reviewed documents are accurate, consistent, and properly filed
Generate and distribute weekly reports of outstanding submittals and RFIs
Maintain
CPR (Change Proposal Request)
logs and file associated correspondence
Office Administration Support (Approx 20% of your day)
Open and close the office daily and assist with office upkeep and shared space organization
Greet any visitors and support a welcoming, professional front office experience
Coordinate occasional office events
Manage supply inventory, mail handling, and basic facility needs
Liaise with building management and coordinate vehicle maintenance logs
Provide administrative support for special projects as needed
What You
5+ years
in an administrative, project coordination, or AEC (Architecture, Engineering, Construction) industry support role
Alignment with the company’s core values and

Exceptional
organizational skills
with a strong eye for detail
Proficiency in
Microsoft Office
and
PDF tools
(Adobe, Bluebeam, etc.)
Experience with
Deltek Vision or Vantagepoint
is a plus
