Position Objective
To support the projects, daily functionality, and improve productivity of the NA Downstream Marketing team, inclusive of Product Management, Marketing Communications, and Sales Training.
Responsibilities
Support the Marketing Team with ongoing vendor and accounting projects :
- Liaison with vendors, the Marketing Team, Accounting, and Purchasing to prepare and process new vendor requests and purchase requisitions.
- Handle and approve invoices and payment.
- Create an account of purchase requisitions, invoices, and payment requests for Marketing Team. Manage this report daily, communicating updates and reminders regularly with the Marketing Team.
- Collaborate with Finance to ensure proper coding and accruals of invoices and payment requests.
- Assist with consulting agreements, non-disclosure agreements, Statements of Work, etc., by gathering information and documentation from vendors and collaborating with the Marketing Team and Legal throughout the routing process.
- Supervise inventory receipt, storage, and distribution of marketing materials and non-sterile demonstration units, both at the Artivion Kennesaw office and literature fulfillment center.
- Partner with marketing communications and product manager to order and ship literature and marketing collaterals for sales teams, conferences, events, etc.
- Collaborate with Marketing team members with meetings, events, and trade shows. Responsibilities may include organizing and implementing guest logistics; processing guest expense reimbursement; compiling registration and attendee data reports; non-sterile demonstration units, and graphics.
- Assist when needed with Medical Education events and North America Sales events, such as the Aortic Workshops, Aortic Root Boot Camp, and North America Sales Meeting.
- Contribute to the development of marketing materials upon requests.
- Maintain the Marketing Training Matrix, reviewing roles, positions, and documents within the Training Matrix for ongoing accuracy and adjust if needed.
- Process expense reports for Sr. Director, Global Business Optimization regularly. Assist other managers within Downstream Marketing with expense reports as needed.
- Create, copy, and distribute marketing communications (email, mail, packages, etc.) to internal staff, external customers, and vendors in a timely fashion, and maintain in an organized manner.
- Work on special projects as needed.
