The Office of General Counsel Florida State Hospital, Department of Children and Families, 100 N Main St, Chattahoochee, FL 32324, is looking for an Administrative Secretary. The position is open competitive.
The Administrative Secretary will :
- Coordinate the processing of court reports on residents in a timely and efficient manner. Track and maintain a database on court reports due for completion and assign reports for processing. Receive and answer calls and emails from court officials regarding court reports issues. Serve as the liaison with the Psychology Department regarding court reports and ensure compliance.
- Type, transcribe, and format a variety of documents and reports which include specialized medical, legal, and psychiatric terminology from reports, records, and rough drafts. Prepare documents containing psychiatric history, comprehensive social history, social history updates, and progress letters and reports to the courts for both civil and forensic residents.
- Assist hospital attorneys in review and preparation of documents related to employee and personnel actions including those actions resulting in administrative litigation or union grievances. Compile and analyze data to aid attorneys in advising hospital administration regarding employment practices, union grievances, and the administration of collective bargaining agreements; interpret established policy and provide the information for the resolution of disputes with hospital employees.
- Serve as the receptionist for FSH legal services, receive and route telephone calls, the answers to which may involve the interpretation of policies and procedures, refer more complex questions to the hospital attorneys.
- Provide litigation support to hospital attorneys in employment cases and civil litigation cases by preparing standard language legal documents for attorney's signature from basic information provided by attorney, making copies, assisting with document production, and scheduling interviews and appearances for hearings and / or depositions.
- Maintain current records and / or accurate spreadsheets of all matters handled by the hospital attorney's office and assist with the tracking and coordination of all work.
- Other duties as assigned.
