We are seeking a highly organized and motivated Administrative Assistant to join our growing team in Nashville, TN . This full-time, on-site position plays a vital role in supporting both our office and warehouse operations , serving as the administrative backbone of our local branch. The ideal candidate will be detail-oriented, proactive, and eager to learn, with strong communication and organizational skills.
As the Administrative Assistant, you will provide daily support to the Branch Manager and our Miami headquarters , ensuring the smooth operation of administrative, HR, and logistical functions. You will handle a variety of clerical tasks - from scheduling and data entry to vendor coordination and office management - while gaining exposure to multiple aspects of business operations. Key Responsibilities
Perform a wide range of administrative and clerical duties including answering phones, managing correspondence, scheduling appointments, and maintaining organized filing systems.
Provide administrative support to HR, finance, and operations teams by maintaining accurate records, preparing reports, and assisting with data entry tasks.
Assist the Branch Manager and corporate office with daily operational needs, communications, and task coordination.
Coordinate deliveries, vendors, and logistics to ensure efficient and timely business operations.
Manage and maintain office supplies, inventory records, and basic administrative systems to keep daily operations running smoothly.
Support the preparation of internal communications, spreadsheets, and reports as requested.
Uphold confidentiality, professionalism, and attention to detail in handling sensitive information.
Qualifications
1-3 years of prior administrative or office support experience preferred (entry-level candidates with strong skills and motivation are encouraged to apply).
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is required.
Strong organizational and multitasking abilities with excellent attention to detail .
Exceptional written and verbal communication skills.
Ability to work both independently and collaboratively in a fast-paced environment.
Demonstrated problem-solving and analytical skills .
Typing speed of at least 40 words per minute (WPM) .
Bilingual in English and Spanish is a plus.
