Description : SUMMARY
The Database and Parish Service Coordinator leads the stabilization and optimization of the diocesan databases, namely, Sage Intacct, ParishStaq and Pushpay, and related technologies across the diocese. The position assists the diocese in the standardization of parish accounting systems and the parishioner database. This position is the point person for both parish administrative staff and the vendor.
ESSENTIAL FUNCTIONS
Serve as the liaison between database vendors and parish locations, including MSO staff
- Establish relationships with essential staff members at each parish location and MSO to support the stabilization and optimization activities at that location.
- Work with parishes on questions as they continue to migrate data and begin using different modules of the systems.
- Inspect parish books in Sage Intacct, to ensure use of correct accounting procedures and identify risk of potential fraud. Train parish staff as needed, when procedures are not being followed.
- Act as point to contact for adding new users in systems, ensuring internal controls are maintained.
- Review financial records and systems, to identify risk and challenges. Make recommendations to management for process improvement.
- Work with MSO offices to expand the use of parish engagement system for support of diocesan initiatives.
- Ensure data standardization and integrity across the diocese.
- Offer training on functions within the software that may be underutilized. Create training procedures and manuals to assist parishes with data entry.
- Advocate for users when vendors are not meeting specific needs.
Maintain and optimize systems
Organize and lead activities related to the support of Sage Intacct, ParishStaq, PushPay and related technologies with the intent of meeting the intended goals of the systems.Establish utilization goals. Measure and report progress against those goals, making priority adjustments as needed.Develop and perform transition assessments, analyze results, and provide recommendations for promotion and programming in support of optimization goals.Identify, track, and prioritize problem tickets and enhancement requests.Work with vendors in developing requirements and specifications for enhancement requests.Ensure industry standard security practices are followed in protecting parishioner data.Work with parishes on programs aimed at increasing parish revenue.Steering Committee
Under the guidance of the Controller, assist with a Steering Committee to routinely evaluate progress, identify and prioritize issues, enhancements and training needs and share best practices.Implement Communication Plan
Ensure needed communications for the program occur.Ongoing Training
Lead system enhancement design and testingCreate documentation to be used by parishes, to establish best practices. This will include accounting policies and best practices for Sage Intacct.Develop a group of super users that can share best practices and be called upon to support parishes that are struggling or are in need of additional training.Ensure training priorities are met through super users or vendor trainingAssist parishes to adopt best practices in use of the parishioner engagement tools.Under the guidance of the Controller, perform and evaluate satisfaction surveys.Other duties as assigned.Requirements :
EDUCATION, EXPERIENCE, AND SKILLS REQUIRED :
Bachelor’s degree in related field.Program management training and / or experience.Accounting background.REQUIRED SKILLS, KNOWLEDGE, AND CHARACTERISTICS
Practicing Catholic in full communion with the teachings of the Church.Experience in parish operations and pastoral ministries.Experience using / implementing ParishStaq or Sage Intacct, or experience with database management, database analysis and reporting tools.Excellent communications skills.Ability to maintain high standards of confidentiality.Ability to work with various personalities and within various contexts in a consistently professional manner.Excellent organizational skills, with ability to multi-task, manage time, and maintain attention to detail.Relationship and service driven, eager to connect and assist others.Self-starter, able to consider issues and come to reasonable solutions independently.Inquisitive and eager to understand large organizations and / or complex working environments.Bilingual competencies and / or experience working across multiple cultures are a plus.Exposure or familiarity with using government census data, demographical data, and / or other statistical research.Demonstrated interest in data and technology, is a quick study and highly analytical.Valid driver’s license.
