The Marketing Department Assistant & Billing Specialist provides administrative and operational support to the Vice President of Marketing and the marketing team. This position plays a key role in ensuring the smooth execution of marketing projects, accurate billing and budget tracking, and effective coordination between internal teams, vendors, and retail partners. The ideal candidate is organized, proactive, and comfortable managing multiple priorities in a fast-paced environment. There will be opportunities to help support several marketing initiatives / programs to help the candidate develop a well-rounded marketing skillset (based on candidates skill set and past experience).
Key Responsibilities
Billing, Budget Management and Marketing Support
Process and track marketing invoices, ensuring accuracy and timely payment.Maintain an organized system for purchase orders, vendor contracts, and billing recordsAssist with monthly budget reconciliation and provide regular updates to the VP of MarketingCommunicate with internal accounting teams to resolve discrepanciesAssist with and / or lead starting level marketing programs or projects as neededAdministrative & Department Support
Provide day-to-day administrative support to the VP of Marketing, including scheduling, meeting coordination, and communication management.Maintain department files, records, and project documentationQualifications
Education & Experience
Associate's in Marketing, Communications, Business Administration, or related field preferred.1–3 years of administrative or billing experience, ideally in a marketing or agency setting or related field.Skills & Competencies
Strong organizational skills and attention to detail.Excellent written and verbal communication abilities.Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word).Ability to manage multiple projects, prioritize tasks, and meet deadlines.Team-oriented mindset with a positive, proactive attitude.Associated Food Stores is an equal opportunity employer.
