Administrative Assistant (Vero Beach)

We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will possess strong administrative skills and have experience in managing office operations effectively. This role requires excellent communication and organizational abilities, as well as the capability to handle various tasks ranging from clerical duties to human resources management. The Office Administrator will play a key role in ensuring the smooth functioning of our office environment.

Duties

• Oversee daily office operations, ensuring efficiency and effectiveness in all administrative processes.
• Manage and process vendor invoices, ensure timely and accurate payments, maintain detailed records of transactions, and reconcile discrepancies to support smooth financial operations.
• Monitor and manage incoming payments, generate and send invoices to clients, track outstanding balances, and ensure timely collections to maintain positive cash flow and accurate financial records.
• Assist with human resources functions, including payroll processing and employee onboarding.
• Maintain accurate bookkeeping records using Sage100.
• Ensure proper filing systems are maintained for easy access to documents.
• Provide front desk support, managing multi-line phone systems and greeting visitors with professionalism.
