GENERAL SUMMARY
Education : College degree required in business or information management and / or related certifications
Experience :
At least 7 years of administrative management or relevant work experienceBASIC SKILLS / REQUIREMENTS :
Proficient in the use of commercial software packages and databases, such as Microsoft Outlook, Teams, Word, PowerPoint, and Excel.Possess the ability to respond flexibly and to provide rapid assistance in a time-sensitive environment.Possess strong organizational and customer service skills.U. S. Citizenship.Ability to obtain and retain a “SECRET” security clearance.Ability to evaluate program effectiveness and recommend improvements.Ability to provide training and technical assistance to staff.Proficient in the use of a variety of IT programs, databases, and computerized systems.Excellent written and verbal communication skills.Commitment to innovative and quality customer service.Physical ability to move a large number of files and / or file boxes.Ability to manage multiple tasks, prioritize work, and meet deadlines.Ability to identify and resolve complex problems.Experience with other administrative services like office management, building and facilities management, human resources, and / or security.Experience in information and records management.POSITION SUMMARY : The U.S. Trade and Development Agency (USTDA) supports the development of overseas infrastructure projects that advance the shared strategic interests of the United States and its overseas partners. These projects offer opportunities for the export of trusted U.S. solutions, including technology, goods, and services that support U.S. jobs. This opportunity provides program and administrative support services, primarily in support of, but not limited to, the Agency’s records management program, from origination of the records through their eventual disposition and disposal.
Duties include
Helping mange agency project report library.Creating and implementing organizational or administrative management policies and procedures.Provide on-site technical support, troubleshoot issues with AV equipment during events such as microphone and monitor connectivity, presentations or visual material access.Create and edit audio-visual content such as presentations and videos.Setup conference, board, and training rooms.Handle the reservations for and coordinate USTDA’s Business Center and other Agency conference rooms (with the exception of the Director’s Conference Room), scheduling agency meetings, trainings, and high-level delegation events.Maintain an events calendar for the Business Center. Maintain a calendar for all Agency conference rooms, including reviewing for approval upon staff booking.Perform physical room set-up of furniture in addition to refreshment stations, set-up of Audio Visual and teleconferencing equipment in support of guests, events, and meetings for all conference rooms and the training center as required.Ensure conference room equipment is operable and troubleshoot minor connection issues.Conduct walk-through of conference room spaces and training center twice a week to check the system and equipment function and elevate issues to the COR for Agency support.Ensure all conference rooms and training center, kitchens, and pantries are well-stocked, functioning, and ready for events. All debris is disposed of and cleaned by COB on the day of each event. Coordinate with Agency staff, contractors, caterers, building staff, and others to facilitate meeting preparation.Support Freedom of Information Act (“FOIA”) Program.To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
