Summary of Primary Functions

The Vendor & Contract Review Manager will be responsible for all aspects of the Vendor oversight process. The Vendor & Contract Review Manager will work directly with departments, and associates with initiating and completing the vendor and contract management process. Must work with a minimal amount of supervision and direction and is authorized and expected to take reasonable actions necessary to carry out the assigned responsibilities of the position, provided that such action is consistent with cost-effective practices and is consistent with the policy and procedures of NGFCU in general.

The Vendor Management & Contract Review Manager has no supervisory responsibilities but will be expected to perform and take the lead on assigned projects and may oversee the work of others working on assigned project, as needed.

Skills, Abilities and Qualifications

Bachelor’s Degree or equivalent combination of work experience and education required. Minimum of 5 years of relevant experience with vendor or contract issues. Knowledge in Risk Analysis and Risk Management tools. Experience with Credit Union operating areas, functions, products and services, and the laws and regulations that apply to credit unions. High-level organizational, and verbal and written communication skills. Organization, research, analytical, and verbal and written communication skills. Proficient computer skills : word processing, spreadsheet, email, and presentation software; Microsoft Word, Excel, Outlook, and PowerPoint. Ability to communicate with all levels of management and staff and to use active listening, facilitation, and mediation techniques. Ability to learn and apply new information or skills. Ability to perform research and comprehensive and objective analysis. Detail-oriented. Ability to uphold confidentiality standards. Ability to compose standard correspondence and reports independently or from brief instructions. Ability to establish and maintain effective working relationships with those contacted in the course of the work. Ability to enter data into standard computer formats and producing correspondence and reports with speed and accuracy sufficient to perform assigned work. Ability to understand and interpret contract language and agreements.

Duties and Responsibilities

• Take the lead and be the business units’ content-expert in the area of Vendor oversight and Contract management
• Train and mentor business users on proper inputting of vendor information into data systems to ensure accuracy and completeness.
• Meet all agreed upon Service Level Agreements (SLAs) for all new and periodic vendor reviews, risk assessments, monthly reporting, and statistical reviews.
• Subject matter expert of the Governance, Risk, and Compliance tool, Quantitate, for all system changes, notifications, workflows, and report requests for the Vendor Management module.
• Work with business users to collect and follow up timely on information for new third party / vendor onboarding.
• Ensure contract, insurance, and other key information is present and up to date for all third parties.
• Launch and manage due diligence reviews and risk assessments of new third parties.
• Launch and manage periodic updated reviews (annually, biennially, triennially, or other) of existing third parties.
• Interface with Legal, Accounting, Information Security, Information Technology in the detailed reviews of third parties.
• Assess the final probability, impact, and decision risk ratings for all vendor due diligence reviews
• Prepare vendor statistics and monthly reporting requirements.
• Database entry and management of all third parties / vendors, contracts and associated documents.
• Validate with Accounts Payable newly established relationships and track spending against projected expenses.
• Prepare and respond to internal and external audit requests
• Maintain and update procedures and policy
• Ensure compliance with regulatory requirements and principles of all Vendor relationships.
• Ensure accuracy and quality control of Vendor due diligence process.
• Ensure contract management is in place for all vendors
• Assist with various enterprise risk management projects and risk assessments.

Compensation and Job Title is commensurate with experience and may fall under the following pay ranges :

Vendor & Contract Review Manager- $68,700 to $103,050 annually
