Construction Administrative Assistant

Our client, a well-established construction and real estate development firm, is seeking an Administrative Assistant to join their collaborative, team-oriented office in Chatham, NJ. This is an excellent opportunity for someone with experience in construction or real estate who enjoys working in a fast-paced, detail-driven environment.
Responsibilities :
Provide administrative support to project coordinators, managers, and executives within the office.Handle incoming calls, correspondence, and emails with professionalism and accuracy.Prepare and maintain project documentation, including contracts, warranties, guarantees, and related records.Assist in the bid process using Excel, ensuring all proposals and supporting documents are properly formatted and submitted on time.Interact with vendors, subcontractors, and clients to obtain and organize required documentation.Support project tracking and reporting using Procore software (required).Help manage the flow of information between departments, contractors, and field teams.Draft and edit letters, memos, and other communications as needed.Maintain organized digital and paper filing systems.Assist with light accounting or invoice tracking tasks as directed.Qualifications :
2+ years of experience in an administrative or project support role within the construction or real estate industry (required).Procore software experience preferred.Experience with Sage or Timberline is a plus.Proficient in Microsoft Office Suite (Excel, Word, Outlook).Strong written and verbal communication skills.Excellent attention to detail, organization, and follow-through.Ability to manage multiple priorities and deadlines in a team-based setting.Professional, positive, and proactive attitude.Why Youll Love This Role :
