Responsibilities Works under the direction of a Supervisory Legal Assistant or an Administrative Supervisor / AUSA Provides Word processing and data entry / retrieval. Answers inquiries regarding case related information as maintained in the database. Receives telephone calls and visitors Merge form letters with mailing lists. Responds to inquiries, providing general information regarding office programs. Receives, reviews, and distributes incoming FAXs, mail and packages. Ensures mail received from other agencies is appropriately screened and distributed. Ensures daily incoming mail is delivered and is processed accordingly. Ensures daily outgoing mail is available for pickup by mail carrier at the end of the day. Supports meeting set up / break down. Operate copier, fax, scanner. Types routine forms, letters. Files records. Performs administrative tasks and small projects such as updating directories, data entry, filing, and document development / preparation. Examines, prepares and processes a variety of technical legal documents which are characteristically voluminous and complex in format. Reviews incoming material and independently determines the need for assembly and preparation of a variety of legal documents, e.g., complaints, motions, orders, answers, pleadings, and subpoenas. Obtains needed information from files, law enforcement agencies, or other sources, and submits completed legal documents to the appropriate AUSA or, in limited cases, directly to the court. In preparation of documents, considers the nature and the status of the case involved. With limited instructions from the AUSA, prepares such legal actions as indictments, criminal complaints, search warrants, judgments, applications, notices, affidavits, summonses, grand jury subpoenas, rules to show cause, proofs of claim, and satisfaction of judgment. Completes variable aspects of recurring legal documents in conformance with the rules governing their style and format. Arranges travel by preparing itinerary, and securing transportation and hotel reservations. Prepares travel authorizations and vouchers for traveler signature and Government approval. Maintains calendar of assigned active cases. Tracks filing, hearing, and trial dates, and scheduling conferences and interviews. Develops and maintains suspense system for ongoing cases and informs the AUSA of pending dates and deadlines. Maintains calendar(s) of the AUSA(s), scheduling appointments, interviews, and conferences, and provides reminders of commitments and court appearances. Requirements High School Diploma, undergraduate degree preferred At least 2-years of experience Good communication skills Provide word processing and data entry / retrieval Ability to review and analyze data and information from multiple sources Ability to establish case / project files Ability to enter and retrieve data from databases Ability to prepare and format management reports Ability to manipulate, transfer, compute and print information Ability to prepare and correct reports and correspondence using word processing software Schedule appointments Answer inquiries regarding case-related information as maintained in the database Answer inquiries regarding case-related status Obtain additional information from other agencies / organizations Maintain internal status information on the disposition of designated information, files, and assets Assure information is accurate and perform analytical computations necessary to process data Provide administrative information and assistance concerning case or file to other agencies or organizations Excellent written and oral communication skills and thorough knowledge of legal research tools Hands-on familiarity with a variety of computer applications, including word processing, database, spreadsheet, and telecommunications Ability to consistently deliver highest quality work under extreme pressure Equivalent combination of relevant education and experience may be substituted as appropriate This position requires U.S. Citizenship and a 7 (or 10) year minimum background investigation.
