Administrative Assistant
The Administrative Assistant will provide support to the Vice President and the broader team as needed. Responsibilities include administrative support, planning and coordinating meetings, conferences and business travel along with other general office responsibilities such as expense reporting and supplies. Responsibilities will also include supporting departmental operations, special projects and additional duties deemed necessary to support divisional goals. Additional responsibilities are outlined below.
- Provide administrative support to the Vice President, including strategic calendar management to ensure daily set up for success of the VP (e.g. time between meetings, prep needed for various presentations, prioritize meeting requests, etc.)
- Serve as the first-line contact for the VP ensuring that all inquiries are dealt with discretely and professionally, coordinating meetings, conference calls, etc.
- Coordinate several major executive meetings, accommodating various schedules
- Book comprehensive domestic and international travel. This includes but is not limited to coordinating trip planning for multiple travelers and expediting immigration related paperwork for multiple countries, as well as booking flights, cars, reservations, etc.
- Regularly completes expense reporting / reconciliation via the Expense Visor system
- Send communications to department staff and leaders from the Vice President
- Provide support with presentations. Create and compile detailed Excel and Powerpoint documents for leadership and general internal and external meetings; ensure that there are printed copies
- Submit and follow-up on IT and facilities requests for the team
- Ensure functionality of printers, fax, copiers, scanners
- Ship materials (presentation materials, client gifts, etc.) as needed
Required Qualifications :
At least 4+ years of administrative experience supporting a team and senior-level executives in a fast-paced environmentStrong interest in developing leadership skillsExcellent organization skillsExposure to art, galleries and eventsBusiness writing & verbal communication skillsDiplomatic communication skillsDeadline driven with flexibility and superior organization skillsQuick to adjust to changing prioritiesDemonstrated interest in learning creative communication and operations managementExperience overseeing executive calendar management and travelShown mastery in Microsoft Office Applications with an emphasis on Powerpoint and ExcelPreferred Qualifications :
Bachelor's degreeExperience working in a corporate environmentThe hiring range for this position ranges from $27.71 - $37.49. The rate of pay offered will be dependent upon candidates' relevant skills and experience.
