Project Assistant IV
The Ultrasound, Genetics and Fetal Neonatal Care Center section of the Department of OB / GYN is seeking a Project Assistant IV to join the team. This role will independently coordinate the administrative needs for the section chief and physicians as well as assist other departmental faculty and programs. The ideal candidate is organized, able to both collaborate and work autonomously and passionate about their impact on the department, section, and patient care.
Responsibilities :
- Coordinate all aspects of the US calendar to include, but not limited to, obtaining faculty time off and availability to ensure all days are covered; coordinate US schedule with MFM schedule designee; ensure all information is entered accurately and timely in QGenda.
- Responsible for day-to-day operations which includes Outlook calendar management, phone coverage and receptionist duties for US section chief and other various OB / GYN faculty members.
- Meet with section chief / faculty on a weekly basis to provide updates on existing action items and to determine what additional support is needed.
- Manage all QGenda requests / data for section chief / faculty.
- Assist faculty with scanning and documentation of procedures and patient encounters to ensure accurate record keeping and billing.
- Assist with coordination of faculty needs for off-site locations.
- Maintain lists and calendar reminders for off-site activities.
- Manage Cascade Peer Support.
- Perform clerical support to include making copies, scanning, sending faxes, taking meeting minutes, maintenance of files office forms, correspondence and packages; deliver material throughout the campus and building.
- Coordinate car service for travel to and from off-site locations on an as needed basis.
- Process reimbursements and mileage for section faculty.
- Create business letters and correspondence as needed; includes processing of letters in Epic.
- Ensure licensure and DEA renewal forms are completed accurately and processed in a timely manner; appropriately manage medical staff credentialing applications at UCM and other area hospitals for all section faculty.
- Maintain professional society memberships and journal subscriptions.
- Other duties as assigned.

Education, Experience or Certification :
High school diploma or GED required.College / university degree preferred.Experience :
Three (3) years of administrative experience required.Hospital or academic medical center experience strongly preferred.Previous experience working with physicians / medical providers.Technical Skills :
Strong verbal and written communication skills required.Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Adobe required.Calendar management skills required.Knowledge of EPIC and Medscribe strongly preferred.Pay Range :
