In this role, you will be an integral part of a dynamic and growing department, providing essential administrative support to department leadership and serving as a key resource for the entire team. The ideal candidate is an exceptionally organized individual who can manage multiple, concurrent tasks with professionalism and discretion.
Responsibilities :
- Office & Administrative Management : Serve as the first point of contact for all visitors and inquiries, manage complex calendars, and handle general office logistics, including mail distribution and building access.
- Event & Meeting Coordination : Plan and support logistics for departmental meetings, staff trainings, and events across multiple facilities.
- Financial & Travel Support : Coordinate travel arrangements and assist with expense reports and reimbursements.
- Special Projects : Support the development of departmental procedures and templates.
- Procurement Support : Act as a backup to the Procurement Coordinator, assisting with invoices and vendor paperwork.
Qualifications :
High school diploma with at least 3+ years of relevant administrative experience.Advanced proficiency in Microsoft Excel, including demonstrated experience with Pivot Tables and Macros.Proficiency in Microsoft Office Suite and Adobe Acrobat.Proven ability to manage multiple projects and priorities with minimal supervision.Exceptional organizational skills and a proactive, problem-solving approach.Strong verbal and written communication skills.Ability to handle confidential information with discretion.Additional Information :
