STAGE 1 - LEAD PROGRAM ASSISTANT II

Location : Los Angeles, CA 90056- 100% Onsite

What We're Looking For :

We are looking for a Lead Program Assistant II for our family Services Department who will provide support to the department and / or a case management team. In this position, you will act as a direct Liaison to internal Leads within the Department, serve as contact person for unavailable case management staff. You will also create and maintain new parent and / or provider files, including filing required documentation, review and ensure proper documentation has been provided, prepare forms notices, and correspondence, enter client information into the database, and make follow-up phone calls to providers regarding terminated parents.

RESPONSIBILITIES :

• Monitor workflow distribution and task completion in conjunction with Supervisor and Lead Specialist.
• Act as a direct Liaison to internal Leads within the Department, serve as contact person for unavailable case management staff.
• Create and maintain new parent or provider files, including filing required documentation.
• Review and ensure proper documentation is provided.
• Prepare forms, notices and correspondence regarding missing documentation, etc.
• Enter client information on internal database.
• Make follow-up phone calls to providers regarding terminated parents.
• Set up appointments for new enrollments / re-certifications and / or follow up on rescheduled appointments and no-shows.
• Send letters to parents of documentation needed for re-certification.
• Check for qualifying eligibility of families and childcare needs within our service area.
• Sort, process, and distribute incoming mail.
• Perform other duties as assigned.
