Studio in a School Association (Studio) is seeking an experienced, enthusiastic, empathetic, and collaborative professional with an interest in arts education to join our team as the Associate Program Manager. The Associate Program Manager will oversee, coordinate and support the Arts Intern college program and play a crucial role in providing administrative, logistical, and clerical support for the programs, student recruitment, and new initiatives within the program, making a significant impact on the art education community. The Associate Program Manager will provide support and guidance during the program implementation period to NYC and Cleveland, the Studio team, and staff at student recruitment and host sites. This role is an integral part of a passionate, talented team within a well-respected arts education organization. It offers the opportunity to contribute to Studio's mission while gaining knowledge about arts education, program design, and implementation.

The ideal candidate will have experience in visual arts and possess exceptional organizational and communication skills. The ability to work independently and collaboratively in a dynamic environment is crucial, as is a willingness to travel. Additionally, experience in providing effective supervision and leadership to a team is required.

The Associate Program Manager will report to the Director of Internships. This is a part-time (up to 28 hours per week), non-exempt, non-union position.

About the College Internship Program

Founded by Agnes Gund in 1999, Arts Intern provides opportunities for skilled college undergraduates with financial need to experience arts professions through paid internships. Full-time paid summer internships are available in various departments, including curatorial, collections, marketing, education, and archives.

Primary Duties and Responsibilities

Program Implementation and Oversight

  • Foster a collaborative and inclusive work environment.
  • Assist in developing and implementing strategic plans for program growth and sustainability.
  • Oversee data tracking systems to ensure accurate and timely data collection.
  • Manage recruitment and placement of interns across Cleveland, NYC, and additional cities as required.
  • Collaborate with key visual arts institutions and speakers to design and implement the Program Day Curriculum. Ensure effective execution across program cities.
  • Support recruitment, training, and supervision of seasonal project coordinators.
  • Develop and maintain records of intern schedules and attendance for accurate timesheet reporting.
  • Compile and submit comprehensive progress reports to supervisor and senior leadership.
  • Prepare materials for meetings.
  • Hold regular meetings with seasonal staff to track program progress, successes, challenges, and the support needs of interns.
  • Coordinate refreshments for meetings across multiple states and cities.
  • Some travel to participating cities is required.

Intern Support and Host Site Collaboration

  • In collaboration with the Director of Internships and the Seasonal Project Coordinator :
  • Develop and strengthen relationships with new and existing partner host sites.
  • Provide ongoing support and guidance to interns for a positive experience.
  • Conduct site visits to gain firsthand knowledge of intern experiences and site operations.
  • Facilitate communication between interns, host sites, and program staff.
  • Data Management and Administration

  • Manage application submission systems (Submittable and Handshake) to ensure the program receives timely information for candidate review.
  • Collect, monitor, track, update, and process records, information, and required documents for student applications and program sites in all cities served (e.g., intern work logs, student applications, internship-related paperwork, invoices, site surveys, reimbursements, and student enrollment rosters).
  • Maintain and update the database to accurately track all program information, including recruitment calendars and summer program schedules.
  • Approve weekly student work logs, review student reports, and provide support for intern final presentations.
  • Process program supply orders and accurately track budget spending.
  • Complete other projects and tasks as assigned by the Director of Internships.
  • Communications :

  • Write and manage correspondence to students and host organizations, including mailings, invitations, requests, and reminders.
  • Manage and prioritize a high volume of emails, phone calls, and text messages from students, partner organizations, universities, and other staff.
  • Field requests from universities and organizations for program-related information to support recruitment and maintain partnerships.
  • Coordinate meetings and events, including information session webinars.
  • Attend networking and community events as necessary.
  • Desired Skills and Background

    Education and Experience

  • Bachelor's degree in Art Education, Art History, Art Administration, or a related field; master's degree preferred.
  • 2+ years of experience in program management or coordination, ideally within an educational or arts-based setting.
  • Experience providing leadership and supervision to a team.
  • Experience working with young adults with diverse backgrounds, experiences, and interests.
  • Experience developing data collection systems and performing data analysis to inform program improvement.
  • Experience setting up file management processes in MS365 and Google Workspace.
  • Knowledge of arts and cultural organizations in NYC.
  • Able to complete NYC Department of Education Fingerprint and Background Check Clearance upon employment.

  • Location

  • We are currently working on a hybrid schedule. The Associate Program Manager is expected to work at least 2 days per week in our office at 410 W 59th Street, though this schedule may shift and evolve.
  • Hours

  • As a member of the administrative staff, the Associate Program Manager is expected to work from 9 AM to 5 PM each scheduled workday. Any schedule shift request must be requested in advance and receive approval from the supervisor. Candidates must be available to work consistently from mid-May through August.
