Rancho Health MSO is looking for a talented Operations Services Specialist for our growing company. A successful candidate will be able to take on various roles within the organization to help ensure effective day-to-day operations. This role will require, but is not limited to, facilities management, managing office equipment and supplies, creating reports, organizing events, clerical duties and assisting managers and senior leadership.

Ensure operation of equipment by scheduling preventive maintenance and managing repairs. Keeping an organized calendar of due dates.
Support the facilities manager by planning and coordinating any minor facility repair such as pest control, plumbing issues, and any small repairs / renovations.Coding for various vendor invoices.Vaccine ManagementHelp with preparation for medical office auditsSafety Champ for Region – Schedule and manages monthly safety audits, emergency drills, etc.Manage and maintain all business licenses and CLIA for all offices.Serve as administrative support to all clinic managers and medicais managersAssist in supply management and ordering for all clinicsAssist in creation and management of provider schedules.Act as courier for the region once a week.Manage senior leadership calendars.Organize meetings, events, and celebrations.Assist in the preparation of regularly scheduled operational and performance reports.Maintain contact lists, birthdays, and anniversaries.Prepare and monitor invoices and code as needed across operations.Maintain supplies at the admin office.Carry out administrative duties.Greeting and assisting visitors.Any other job duties assigned.Required education and experience : The requirements listed below are representative of the knowledge, skills, and / or ability required.
Minimum Education required :
High School Diploma or equivalentAssociate’s degree or higher or 2+ years’ experience.Minimum Experience Required :
1-2 years of experience in an administrative, facilities coordination, or operations support role, preferably in a healthcare or multi-site office setting.Experience with vendor management, invoice coding, and basic financial processing.Familiarity with medical office operations.Experience handling calendar management, scheduling, and supporting leadership with administrative tasks.Strong organizational and multitasking skills to manage supplies, facilities, and events efficiently.Ability to perform basic data entry, reporting, and record-keeping.Some customer service or reception experience to assist visitors and interact with clinic staff effectively.Minimum Knowledge and Skills Required :
Highly organized.Professional verbal and written communication skillsProficient in MS Office.Ability to adapt to an ever-changing environment.Works well in a team centered environment.Problem solving skills.Excellent Customer service skills.Work Authorization
Must be authorized to work in the United States.
Must be available Mon - Fri. Hours based on business needs.
