SUMMARY
As a Senior Specialist in 401(k) Recordkeeping, you will play a critical role in supporting the administration and management of our clients' retirement plans. This position requires a high level of technical recordkeeping expertise, attention to detail, and a commitment to ensuring accuracy and compliance with regulatory requirements. You will be responsible for performing complex recordkeeping tasks, resolving escalated issues, and providing guidance to less experienced team members.
This position is based in Dallas, Texas. The ideal candidate would be local, with a hybrid work schedule. The employer is open to non-local candidates and would allow for the role to be 100% remote depending on overall skills and experience. If remote, occasional travel to the office for training or as business needs dictate may be required.
RESPONSIBILITIES
Recordkeeping and Transaction Processing
- Perform advanced recordkeeping tasks, including processing contributions, distributions, loans, and other transactions in accordance with plan documents and regulatory requirements.
- Review and reconcile participant accounts, ensuring accuracy and integrity of data and transactions.
- Investigate and resolve complex participant inquiries and discrepancies related to account balances, transactions, and plan provisions.
Compliance and Reporting
Assist in ensuring compliance with all applicable laws, regulations, and internal policies governing 401(k) plans, including IRS and DOL requirements.Support the preparation and distribution of required participant communications, notices, and disclosures.Generate and review periodic reports, statements, and filings to ensure accuracy and completeness.Client Support
Serve as a subject matter expert to plan sponsors to address client inquiries to help them understand recordkeeping processes, procedures, and regulations in a responsive and timely manner.Collaborate with other internal teams to ensure effective communication and resolution of client issues.Process Improvement
Participate as a strong team member with the ability to identify opportunities to streamline recordkeeping processes, improve efficiency, and enhance service quality based on experience and industry bestParticipate in initiatives to implement system enhancements, automation tools, or workflow improvements to optimize recordkeeping operations.EDUCATION & EXPERIENCE
Bachelor's degree in business, finance, accounting, or a related field preferred.Relevant certifications (e.g., Certified Employee Benefits Specialist, Retirement Plans Associate, QKA, QPA, CPC) preferred.Minimum 5-7 years of experience in 401(k) recordkeeping, or a combination of recordkeeping and trustee directed plan servicing or plan administration, with some portion of that in a Relius environmentIn-depth knowledge of retirement plan regulations, including ERISA, IRS, and DOL requirements.Strong analytical skills with the ability to interpret and apply plan documents, regulations, and policies.Excellent attention to detail and accuracy in performing recordkeeping tasks and reconciliations.Effective communication skills, both written and verbal, with the ability to interact professionally with clients and colleagues.Proficiency inTrust account systems, recordkeeping systems (RELIUS), Microsoft Office (advanced Word, Excel and Power Point / Publisher skills), digital imaging and storage systemsStrong understanding of 401(k) plan rules, regulations, and industry standardsStrong initiative and leadership skillsExceptional analytical and problem-solving abilitiesStrong communication and interpersonal skillsDetail-oriented with a commitment to accuracy and compliance
