Job Description : Transactional Legal Assistant

Overview
We are seeking a highly organized and detail-oriented Transactional Legal Assistant to support a team of attorneys specializing in homeowners’ association (HOA) and community association law. The ideal candidate will provide essential administrative and legal support, ensuring the smooth operation of the practice while maintaining a high standard of client service.
Key Responsibilities
Draft, proofread, and edit routine legal correspondence, contracts, and transactional documents with strong attention to grammar, spelling, and formatting.
File legal documents with courts and other relevant entities in a timely and accurate manner.
Manage attorney calendars, track deadlines, and coordinate scheduling of appointments, meetings, and hearings.
Handle client communications via phone, email, and in person with professionalism and courtesy.
Perform general administrative tasks including calendaring, data entry, document management, copying, and filing.
Conduct basic research using online databases and public records.
Assist with billing by editing and preparing monthly client invoices.
Maintain organized filing systems, both electronic and physical, using case / document management software.
Provide reliable support in managing high volumes of transactions and deadlines.
Qualifications
High school diploma or equivalent required; additional education or paralegal training preferred.
1–3 years of experience in a law firm or legal office environment (transactional, HOA, or real estate law experience is a plus).
Proficiency in Microsoft Office Suite (Outlook, Word, Excel) .
Familiarity with case management and document management systems such as TABS, PracticeMaster, or NetDocuments is highly desirable.
Strong written and verbal communication skills with the ability to proofread and edit legal documents.
Excellent organizational skills with the ability to prioritize multiple tasks under deadlines.
Strong interpersonal skills for professional interaction with clients, attorneys, and staff.
Demonstrated attention to detail and accuracy.
Working Conditions & Physical Requirements
Ability to remain in a stationary position and focus on a computer screen for extended periods.
Ability to lift up to 10 pounds when handling files and office materials.
Consistent and on-time attendance is required.
