Accounts Payable (AP) Manager is responsible for all aspects related to AP. The AP Manager is responsible for ensuring that all invoices are entered, processed and paid in a timely manner.
The AP Manager is also responsible for all reconciliations and accruals related to AP.
Role and Responsibilities
- Ensure Timely Processing : Ensure that accounts payable duties are performed as required and deadlines are met.
- Assist with AP Duties : Provide assistance with AP duties as necessary.
- Process Improvement : Identify inefficient processes, determine the best solutions, and assist Accounting Leadership and IT with implementation of new solution.
- Compliance Oversight : Oversee relevant compliance reporting (e.g., 1099, Sales Tax, Franchise Tax, etc.).
- P-Card Program Administration : Administer the company’s P-Card program, including assessing transaction compliance with policy, auditing transactions and activities, and maintaining key fields.
- Collaboration with Business Units : Partner with other business units to determine more effective ways for invoice entry, review, and approval.
- Invoice Management : Determine invoice due dates and ensure payments are made timely to optimize cash flow.
- SOP Documentation : Continually document and review Standard Operating Procedures (SOPs) to ensure they are updated and accurate.
- Reconciliation : Reconcile the AP trial balance to the general ledger.
- Month-End Reporting : Complete month-end AP reports in a timely manner.
- Audit Reporting : Lead the AP team in preparing for year-end audits and ad-hoc audits as required.
- Journal Entries : Perform month-end journal entries.
- General Ledger Review : Review and reconcile assigned general ledger accounts.
- Year-End Close : Manage year-end AP close and file forms 1099.
- File Maintenance : Maintain organization of AP files.
- Outstanding Checks Analysis : Analyze the status of outstanding checks and take appropriate action.
- Other Duties : Perform other duties as assigned.
Managerial Responsibility
This position will oversee a team of AP Specialists. The AP Manager is expected to develop their team, promote the Company’s culture, and delegate effectively.
Required Skills & Qualifications
- Bachelor’s degree required, accounting preferred.
- Strong understanding of accounting theory and audit.
- Highly detail oriented and organized in work.
- Ability to act and operate independently with minimal daily direction from manager to accomplish objectives.
- Must be proficient in Microsoft Office and highly proficient in Excel.
- Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, creativity, problem solving and results.
- 3 years AP supervisory experience.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift to 15 pounds at times.
- While performing the duties of this job, the employee is frequently required to walk; balance; stoop, kneel, crouch, and talk or hear.
- Ability to cope with and tolerate moderate levels of stress is also a necessity. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus.
