Job Type : Full time, 3 days per week in South San Francisco (Tues-Thursday) and as needed for events
Position Summary :
ACELYRIN is seeking an experienced Executive Assistant to provide seamless strategic support to the Chief People Officer (CPO) and Chief Legal Officer (CLO) ensuring the smooth operation of their executive offices.
The role also includes providing administrative support on an as-needed basis to the broader HR and Legal teams.
Primary responsibilities include but are not limited to calendar scheduling for internal and external meetings, ensuring meetings begin on time with prep material delivered in advance, optimizing domestic and international travel schedules, keeping projects on track, completing expense reports, and reconciling accounts, supporting special events and projects, and other day-to-day activities to support the two executives.
The Executive Assistant will also be responsible for helping oversee operations in the South San Francisco office.
The ideal individual has a successful track record of building and maintaining strong rapport with executives as well as the entire organization, using sound judgement and discretion in handling sensitive data while possessing strong interpersonal and communication skills.
This individual will also have solid project management skills and is fully capable of filtering distractions.
Responsibilities :
- Help manage the CPO, and CLO’s schedule, serving as the manager to ensure time is protected / spent wisely, as well as managing various operational team logistics.
- Manage key meetings for the executives (Leadership Team meetings and Department Meetings); developing agendas, compile / develop presentations, and capture / track action items, where needed such as team meetings.
- Participate in functional leadership team meetings and push business priorities forward by keeping a pulse on the executive’s priorities.
- Coordinate onsite events and help to develop / maintain culture.
- Improve collaboration across internal and external stakeholders by driving communication, information sharing, and alignment
- Creating / formatting templates, documents, and presentations.
- Participate and / or manage special projects as needed.
- Provide operational support (vendor onboarding, invoice processing, supply ordering, facilities support) in South San Francisco office.
Qualifications and Skills Required :
- 5+ years of experience working with and supporting executives in a fast-paced, high growth environment. Biotech company experience a plus.
- Ability to exercise complete discretion and handle highly confidential information with 100% integrity
- Proven leadership skills and teaming capability. Ability to coach and inspire others.
- Self-starter who can operate independently and move quickly from one task to another; creative problem solver, seeks "win-win" solutions;
