Status : Part-time ( hrs / week); 5-15 hours / week; not to exceed 40 hours per month with the exception of summer months and March (World Down Syndrome Day)

Pay : $15-$18, DOE

Summary :

The Down Syndrome Association of Wisconsin is a statewide, volunteer-driven non-profit organization dedicated to advancing the lives of individuals with Down syndrome and related disabilities and their families through awareness, education, information, programs, services, and the exchange of ideas and experiences.

DSAW provides programs and services throughout the lifespan (Parent’s First Call for new and expectant parents, children’s services, adult services, vocational services, and aging services), as well as educational opportunities and events.

We have an immediate opening for an Outreach and Event Assistant, a position based

out of South Central WI. The Assistant will be responsible for helping with planning and implementing both family and fundraising events for the DSAW-South Central chapter, as well as building relationships with families and partner organizations throughout the region.

Successful candidates are positive, energetic, and have a passion for helping individuals with Down syndrome and other disabilities to achieve amazing lives.

As a face of the organization, successful candidates will be outgoing, detail-oriented, tech-savvy, and able to work some nights and weekends in support of events.

Project management, event planning, self-direction, and writing skills are important; attention to detail and follow-through are a must.

Key attributes are a genuine love of working with people, ability to take direction and constructive feedback, and a desire to give 100% every day on behalf of individuals with diverse abilities.

Successful candidates will have a positive track record of responsibility and operations for similar organizations or individual efforts.

The Outreach and Event Assistant is part-time (5 - 15 hours / week; not to exceed 40 hours per month. During special events (Golf - July;

Walk - October and Gallery 21 - March; additional hours may be needed).

Essential Functions and Responsibilities

Family Event Planning and Implementation

Attend and facilitate 1-2 events per month. Most events take place in the evening and weekends.

Fundraising and Event Planning

  • Assist with three major events throughout the year : Golf Outing (July), Awareness Walk (October) and Gallery 21 (March)
  • Track all RSVP’s
  • Write and post announcements
  • Complete online campaign launch and updates (GiveSmart and Qgiv)
  • Solicit for raffle donations and sponsorships
  • Follow up via phone calls and emails for donations and sponsorships
  • Keep participants, volunteers and donors up to date with information on event
  • Pick up items and materials as needed
  • Attend events if schedule permits and coverage is needed
  • Work with outside venues to secure space, activities, discount
  • Complete payment
  • Greet families
  • Ensure all participants are having fun, etc.
  • Assist Outreach and Event Coordinator as needed

Community Outreach

Research opportunities for DSAW to partner with

Work closely with the Outreach Committee and offer support as needed and requested

Attend community events representing DSAW

Marketing Duties

  • Assist with the monthly newsletter
  • Create post-event survey and post photos
  • Create flyers and other signage
  • Support all marketing efforts including social media, website and printed materials

Administrative Duties

  • Submit event marketing forms
  • Complete expense reports, check requests and credit card reconciliation
  • Enter all donations and in-kind contributions for fundraisers
  • Write and send thank you’s to donors
  • Keep database up to date
  • Keep inventory of supplies organized
  • Maintain storage area and supplies
  • Reserve spaces for events at the Sun Prairie location

Other duties as assigned

Qualifications

  • Event planning experience is required
  • The minimum education level for this job is a high school diploma
  • Applicant must have a valid Driver’s License in the state of Wisconsin, and should have access to a reliable vehicle with adequate insurance coverage.
  • Applicant must be willing and able to regularly lift at least 50 pounds for event and program support.
  • Applicant must be able to pass a caregiver background check and driver’s license background check.
  • Applicant must be able to work some evenings & weekends

  • Demonstrates warmth, insight, interest, and respect for persons with disabilities
  • Willingness to be flexible with their schedule
  • Able and willing to be a team player and to work cooperatively with their supervisor
  • Ability to multi task and adhere to timelines set forth for quality management

Compensation

This is an hourly position $15-$18 .
