Coordinates and directs scheduling of staff on all shifts in the nursing department. Takes an active role in processing personnel action request forms, vacation requests, and preparation of computerized time cards for payroll.
Reports To : Director of Nursing
Essential Duties & Responsibilities :
- Schedules of all shifts to be worked by nursing department employees on a three (3) week consecutive basis, to provide the facility with 24 hour nursing staff care to residents.
- Utilizes staff at straight time, overtime and TMG staff appropriately and in accordance with the prevailing union contract(if applicable).
- Submits a Nursing Staff Request Form to TMG NPS to fill vacant shifts open after initial scheduling is complete.
- Maintains a working knowledge of the prevailing union contract as it pertains to staffing issues (if applicable).
- Completes the daily staffing form with current and accurate adjustments and updates the master schedule.
- Assigns staff in accordance with the master staffing plan developed specifically for their facility.
- Checks unit staffing at the beginning of the day and evening shift via telephone or computerized time keeping system.
- Adjusts the daily schedule to cover those staff members who call-off, do not report for their shift, are on disability or workman’s compensation, or those who have been terminated.
- Communicates ongoing daily staffing status of the facility, to the Director of Nursing.
- Issues disciplinary notices to employees who violate the facility’s time and attendance policy. Notices include : verbal warning, written warning, suspension and termination.
- Informs Human Resources of vacancies on a daily basis.
- Develops and maintains a positive rapport with nursing staff.
- Sends daily TMG logs to NPS Staffing Coordinator.
- Scheduling of Companion Aides (as applicable).
- Scheduling of MD appointments and transportation (as applicable).
- Completes electronic time cards from the previous week, on a timely basis. All applicable paperwork is to be submitted to the payroll department.
- Completes labor controls for all departments.
- Completes termination and status change forms for the nursing department.
- Personnel Action forms reviewed / returned within a timely manner.
- Provides staff with the opportunity to request necessary time off within a given time frame prior to finalizing the new time schedule.
- Distributes payroll checks to the employees.
- Purchasing, inventory management and distribution of nursing supplies (facility specific).
- Completes monthly vacancy report and submits to TMG.
- Completes van log (facility specific).
- Maintains resident rights.
- Maintains HIPAA privacy, security and confidentiality standards.
- Follows all established policies and procedures.
- Follows universal Precautions and Infection Control techniques.
- Maintains Corporate Compliance standards.
- Contributes to facility Continuous Quality Improvement initiatives.
- Follows safety procedures by keeping areas free of hazardous conditions.
- Economical and careful with supplies and equipment.
- Attends all required in-services.
- Comes to work as scheduled and consistently demonstrates dependability and punctuality.
- Comes to work in neat, clean attire and consistently presents an appropriate professional appearance.
- Prepares any other necessary duties as assigned by Supervisor.

- Promptly reports all needs and concerns to the Supervisor or designated alternate.
- Hours PPD correlate with dynamic census· Adheres to guidance set forth in the CBA (if applicable)
- 5% decrease in overtime year over year
- Total % of overtime not to exceed 5% of gross payroll
- Mitigate the use of agency which does not impact minimum staffing patterns
