FLSA : Non- Exempt, Part Time (24 hrs / week)

Salary / Hourly Rate : $22 - $26 / hour

Position Summary : Reporting to the Sr. Grants Manager, the role of the Grants Coordinator is to provide vital administrative support to maintain Butterfly Pavilion's $3 million grant portfolio which includes private and corporate foundations, and governmental agencies.

The Grant Coordinator will assist in identifying and evaluating funding opportunities, managing the grant calendar from pre-award through post-award, and supporting proposal preparation and reporting.

There will be opportunities to grow within the position and assist with writing grant proposals.

Essential Functions & Responsibilities :

  • Maintain and update the grants database with application and report deadlines, submission dates, application documents, awards and grant contracts, reporting requirements, task assignments, and other relevant data and documentation.
  • Research and identify new prospective foundations, grant programs, and governmental funding opportunities.
  • Evaluate and prioritize grant prospects based on eligibility, fit, and potential funding impact.
  • Work with Donor Relations Coordinator to ensure prompt funder acknowledgment and accurate funder recognition.
  • Maintain contact reports from face-to-face meetings, correspondences, phone calls, and other activities in the donor database, ensuring information is current and entered timely.
  • Communicate professionally with prospects, donors, vendors, and teammates through verbal and written communications.
  • Prepare materials for and write letters of inquiry, proposals, reports, and informational materials to engage funders , ensuring accurate and timely completion and submission .
  • Provides research and meeting preparation for Sr. Grants Manager and VP of Donor Relations, CEO as needed.
  • Work collaboratively with others to solve problems, achieve common goals, and positive results. Listens to others and values opinions.
  • Maintain an ongoing knowledge of Butterfly Pavilion programs, outreach, and strategic initiatives.
  • Participates in relevant Butterfly Pavilion events on- and off-site and represents the organization professionally.
  • Assist in other donor development projects and other duties as assigned.

Qualifications / Experience :

  • 1+ years of experience in grants programs and working with a foundation / donor database.
  • Nonprofit experience and understanding of fund development, office administration, or database management a plus.
  • Excellent written, verbal, and interpersonal communication skills, great attention to detail, the ability to process and maintain confidential information, and develop strong relationships with both internal and external constituencies to promote a positive collaborative spirit across the organization's network.
  • Must be proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research, and problem-solving purposes.

Experience with Smartsheet and Instrumentl is a plus.

  • Bachelor's degree preferred but relevant work experience in lieu of degree is accepted.
  • Ability to organize a daily workload by setting priorities, meeting deadlines, and moving projects forward independently.
  • Strong ability to think critically and outstanding attention to detail and quality in all work produced.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Ability to move fluidly through self-directed work and collaborative teamwork.

The employee is occasionally required to reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl.

Vision abilities required by this job include close vision. Employee should be able to lift and carry items up to 50 lbs.
