Essential Duties and Responsibilities
- Provide administrative support to the Human Resources department, including but not limited to maintaining employee files, conducting new hire orientation, and administering benefits.
- Oversee payroll punches in & out, as well as pulling the payroll data for reporting purposes
- Assist with the recruitment and hiring process, including posting job openings, scheduling interviews, and conducting background checks.
- Maintain accurate and up-to-date employee data in system.
- Provide general administrative support to the warehouse facility, including filing, data entry, etc.
- Process invoices and purchase orders in a timely and accurate manner and maintain historical data.
- Assist (or Lead) with onsite safety training, as needed
- Maintain a detailed filing system for various documents and records, including HR and safety-related documents.
- Manage office supplies and inventory and order new supplies as needed.
- Assist with purchasing supplies for the warehouse facility, locate key suppliers, negotiate purchase agreements, and handle cost related items such as invoices and payments.
- Organize and schedule meetings, including sending out invitations and preparing meeting materials.
- Assist with special projects and events as needed.
- Manage the front desk and provide general office support, including greeting visitors, and managing incoming and outgoing mail.
- Process paperwork by entering data into systems and file documents
- Collect, analyze financial data and estimate costs by comparing budgets with actual expenses
- Manage & issue sales transaction invoices
- Manage daily purchase order status and support communication with outside vendors
- Handle invoices, vendor management, supply usage management, procurement, and reports.
- Assist with KPI data entry and analytics.
- Assist and perform warehouse operator and general labor observations documenting and providing to management and staffing services.
- Handle and manage month-end closing preparation.
- Perform other administrative duties as assigned.
Requirements
- High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Management, Human Resources, or Finance or similar preferred
- 2+ years of administrative experience, preferably in a warehouse or manufacturing environment.
- Strong knowledge of Microsoft Office suite, including Word, Excel, and PowerPoint.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to work independently and prioritize tasks.
- Ability to work independently and as part of a team.
