ETIC, located in Pleasant Hill, CA is seeking a highly skilled individual to support office operations to ensure a productive and efficient work environment and to assist with various financial tasks.

The ideal candidate will be a confident self-starter with exceptional organizational skills, proven communication skills and the ability to manage multiple priorities / deliverables in a fast-paced environment.

Key Responsibilities : Office Administrative Operations : Oversee the daily operations of the office, including answering phones, greeting guests, receiving office deliveries and sorting mail, managing office supplies and building property management engagement.

Ensure the office environment is organized and presentable. Administrative Support : Provide administrative support to executives as directed, including scheduling meetings and aiding with various tasks.

Responsible for coordinating and ordering food for staff and client meetings, processing FedEx and UPS shipments, booking travel, and handling office mail and correspondence.

Project Assistance : Assist in the preparation and execution of special projects and initiatives as directed by the executive team.

Conduct research and compile reports or data as needed. Financial Support : Engage with and support accounting group with specific tasks, as needed, manage business license submissions, credit applications, and generate monthly production reports.

Financial analysis and data management skills helpful. Records Management : Maintain accurate and up-to-date records, files, and documentation for the assigned tasks.

Handle confidential information with discretion. Vehicle Relations : Manage floater vehicle reservations, maintenance and service.

Monitor various vehicle and driver portals and credit cards. Negotiate vehicle service quotes and ensure timely delivery of office services and supplies.

Qualifications : Education : Bachelor’s degree in business administration, Management, or a related field preferred. Relevant experience may substitute for formal education.

Experience : Minimum of 5-10 years of experience in a similar administrative role. Skills : Strong organizational and multitasking abilities.

Excellent written and verbal communication skills. Proficiency in MS Word, PowerPoint, Outlook and office management software.

Excellent MS Excel skills are preferred. Basic understanding of financial principles and budgeting. Ability to manage and prioritize multiple tasks effectively.

Attributes : Proactive problem-solving abilities. Confident self-starter willing to take the lead on assigned tasks High level of professionalism, trustworthiness and discretion.
