Position summary :
Roy Jorgensen Associates, Inc. is currently seeking full-time Administrative Assistant to support project operations through recording and verification of work activity in Nashville, TN.
This position requires performing a variety of tasks related general office administration support and adherence to all applicable federal, state, and local regulations, as well as Jorgensen Company policies and procedures.
This position works closely with the Project Manager, Project Coordinator, Superintendent, and work crews.
Responsibilities include :
- Interacting with visitors
- Answer, screen & direct phone calls / email in a fast paced environment
- Provide project management administrative assistance
- Office management support (receiver of imporatant mail / documents, keeping inventory & ordering office supplies, etc.)
- Data entry using our in-house management system, assigning work orders, scheduling work orders as well as timesheet collection
- Support with creating production and scheduling reports for field operations, preparing client reports, keeping all data current and accurate
- Assisting employees with new hire orientation and general questions
Salary : Depends on experience and qualifications
Schedule : Full time, Mon-Fri. This position will report to our project office which is North of Nashville off of Bell Grimes Lane, daily.
Required Experience :
- Customer service orientation
- Experience managing heavy workloads in a fast paced environment
- Database management experience in Excel
- Data entry experience
- Strong oral and written communication skills
- Excellent digital filing and organization skills
- Excellent attention to detail
- Good general computer skills
Preferred Experience :
- Prior customer service support or call management process experience
- Experience working with TDOT or other Departments of Transportation
- Construction or Maintenance Industry experience
- Bilingual in English and Spanish a plus
Qualifications :
- High School Diploma
- Preferred candidate will be customer service and detail oriented, self-motivated and an independent worker
- Position requires excellent organization, problem-solving and communication skills
- Tenacity and patience required
- Strong problem-solving skills
- Good general computer skills required
- Knowledge of administrative activities
- Knowledge of Microsoft Office software
- Ability to perform multiple, non-technical tasks with a potential need to upgrade skills in the order to meet changing job conditions
