The New Patient Coordinator & Scheduling Specialist plays a vital role as the first point of contact, setting the tone for a positive patient experience with ADC.
This position engages with potential patients by responding to inquiries from our CRM system, understanding their needs, and scheduling appointments for the designated ADC locations.
Additionally, this role is responsible for building the restorative schedules for our associates, utilizing various reports, marketing campaigns, and communication tools to ensure an efficient and productive workflow.
Responsibilities Include :
- Respond to potential patient inquiries via phone, text, and email using the CRM system.
- Efficiently manage and follow up on leads generated by marketing campaigns, ensuring prompt and effective communication to convert inquiries into scheduled appointments.
- Identify and schedule new patient appointments based on the appropriate course of action.
- Clearly and professionally explain dental services and procedures in a patient-friendly manner.
- Collect and verify necessary patient information during the appointment-setting process.
- Process prepayments as required to secure appointments.
- Address patient concerns and ensure a positive initial experience with ADC.
- Build and maintain schedules for multiple ADC locations, optimizing staff availability and patient needs to support smooth clinic operations.
- Utilize dental software systems to fill gaps in the schedule, ensuring patient appointments are strategically placed to maximize office productivity.
- Contact existing patients based on reports to schedule hygiene and restorative appointments.
- Create and execute marketing campaigns via email and text, utilizing dental software to generate new leads.
- Provide backup support for front desk operations as needed, including patient check-in, check-out, and payment collection.
- Assist with confirmation calls and perform additional administrative tasks to ensure a seamless and efficient patient experience.
- Complete all other duties as assigned.
Requirements :
Requirements Include :
- High school diploma
- A minimum of two years’ experience in a sales-oriented role.
- A minimum of one year of relevant experience in the dental industry
- Strong communication and interpersonal skills.
- Excellent time management skills with the ability to prioritize and handle multiple tasks.
- Ability to sit for extended periods of time.
